Job Purpose
To provide comprehensive administrative and operational support to ensure the smooth functioning of shelter operations, including resident management, facility maintenance, and programme coordination.
Key Responsibilities
Resident Support & Admission
- Attend to general enquiries from internal and external parties regarding ELB.
- Handle day-to-day general queries from stakeholders and referring agencies.
- Assist in the admission process for new ELB residents (including submission and coordination with stakeholders and support in the conducting of screening tools).
Administrative & Operational Support
- Support health, safety, and security protocols within the shelter environment.
- Maintain documentation related to shelter inventory, financial assistance, and in-kind donations.
- Perform data entry and maintain accurate records for clients and ELB operations.
- Collect and manage records of billings and payments for programme fees.
- Conduct maintenance checks, perform minor repairs, and liaise with vendors and contractors for necessary maintenance.
- Conduct monthly unit inspections.
- Manage interpersonal disputes among co-living residents and respond to incidents, including de-escalating crisis situations and escalating to supervisors when necessary.
Monitoring & Documentation
- Maintain records for client data monitoring and evaluation purposes.
- Collect statistics to support programme evaluation and reporting.
- Assist in the coordination and execution of ELB programmes and activities.
Other Responsibilities
- Provide administrative and logistics support for meetings and events.
- To update records on staff movement, staff development / training records.
- To perform any other duties as assigned by Supervisor.
