Role Summary
We are looking for a Membership Coordinator to act as the key liaison between the EU-ASEAN Business Council and its corporate and associate members. The Officer will be responsible for all aspects of membership liaison — from serving as the first point of contact for membership-related questions to developing strategies for recruiting new members, coordinating renewals, and ensuring member satisfaction.
The role also involves maintaining accurate membership records, tracking membership and sponsorship figures, and working closely with the Administrative team on membership renewals, invoicing, and payments. Beyond the administrative scope, the Membership Coordinator will play a vital role in driving engagement initiatives, conducting membership surveys, and supporting the development of sponsorship opportunities for the Council’s events and programmes.
Working collaboratively with the Marketing & Communications team, the Membership Coordinator will contribute to strengthening the Council’s brand visibility and reputation across ASEAN and Europe — helping to showcase the value of membership and deepen the connection between members and the organisation.
To be successful in this role, the candidate should be an outstanding communicator and relationship-builder, able to maintain high levels of member satisfaction while supporting the Council’s growth objectives. Ultimately, this is a key position that combines coordination, communication, and strategic outreach to enhance both the member experience and the overall impact of the EU-ASEAN Business Council.
Key Responsibilities
Membership Liaison and Administration
- Act as the first point of contact for all membership-related queries, applications, renewals, and resignations.
- Work closely with the Administrative team to manage membership renewals, invoicing, and payment tracking.
- Maintain and update the membership database, ensuring accuracy and confidentiality.
- Support the Marketing & Communications team with membership announcements and digital updates.
Membership Engagement and Insights
- Build and maintain strong relations with members through regular one‑on‑one meetings; initiate engagements with less‑active members to encourage participation in EU‑ABC activities.
- Design and implement regular membership surveys to gather feedback and measure satisfaction.
- Analyse survey findings and recommend actions to improve member engagement and retention.
- Develop initiatives that strengthen participation in Council events, working groups, and committees.
- Assist in recognising and promoting member contributions through Council communications and events.
Sponsorship and Growth
- Work with relevant teams to develop and secure sponsorships for Council events and programs.
- Prepare sponsorship proposals, manage relationships with sponsors, and ensure commitments are fulfilled.
- Identify opportunities for new memberships, partnerships, and sponsorship growth that align with theCouncil’s priorities.
Marketing and Communications Collaboration
- Collaborate closely with the Marketing & Communications team to align membership and sponsorship messaging with the Council’s broader brand strategy.
- Contribute to campaigns, newsletters, and social media activities that promote the Council’s mission, programmes, and member value.
- Provide content ideas and success stories that highlight the benefits of membership and sponsorship.
- Support brand visibility initiatives that enhance the Council’s presence within both ASEAN and European business communities.
Reporting and Coordination
- Track and report on membership and sponsorship trends, engagement metrics, and survey outcomes.
- Work cross‑functionally to ensure member and sponsor priorities are reflected in the Council’s programs and advocacy efforts.
- Assist in the delivery of Council events, ensuring members and sponsors are effectively represented and recognised.
Qualifications and Requirements
- Highly organised, detail‑oriented, and able to manage multiple priorities under pressure.
- Strong written and verbal communication skills in English, with the ability to produce high‑quality materials.
- Keen interest in Southeast Asian political systems, public policy, and business environment (knowledge of ASEAN is a plus).
- Exposure to European companies, organisations, and/or political systems desirable.
- Bachelor’s degree (or equivalent experience) in Business Administration, Marketing, Communications, or related field.
- Previous internships or experience in trade, international relations, or business organisation environment will be an advantage.
- Quick learner with the ability to absorb new information and adapt to changing priorities.
- Flexibility to occasionally work beyond standard business hours and to travel within Southeast Asia and Europe as required.
- Awareness of and adherence to compliance standards, including the US Foreign Corrupt Practices Act, UK Bribery Act, and other relevant legislation.
