Roles & Responsibilities

The Logistics Assistant provides vital support to the healthcare institution's logistics and supply chain functions. This role primarily involves handling the daily receiving, storing, distributing, and stock-taking of medical and general supplies.

Planning functions include inventory management of stock and distribution, purchase order status and follow up, and updating of data in the system.

The Logistics Assistant works closely with clinical and administrative staff to ensure all departments have the necessary materials to support quality patient care.

Key responsibilities
Receiving and distribution
  • Receive, inspect and verify all incoming stock against purchase order and delivery note to ensure correct items received
  • Conduct receiving in system and upload delivery note into system
  • Distribute stock to various departments accordingly
  • Pick and pack items for off‑site location
  • Coordinate billing and invoice
  • Schedule delivery to off‑site location
  • Receive monthly damage/expire items for write‑off
Inventory and stock management
  • Assist with bi‑annual stock take
  • Conduct weekly inventory levels to identify and address stock shortages and top up
  • Monitor inventory level and assist in reordering process
  • Manage transfer of stock in system and update records
  • Track and monitor outstanding purchase orders to ensure timely and complete delivery of goods
  • Ensure storeroom is organized, clean, and that goods are stored properly
  • Perform other administrative and logistical duties as assigned by management
Requirements:
  • Basic proficiency with computer systems and software such as Excel and Outlook
  • Physical fitness to carry out receiving and distribution activities (male preferred, as the goods may be heavy)
  • Attention to detail and accuracy for managing inventory and documentation
  • Good communication and interpersonal skills to interact with colleagues and delivery personnel
