Position Summary

The Executive / Senior Executive, Spare Parts Project plays a critical role in supporting the rapid growth of our Defence / Military aftermarket business in Asia‑Pacific. You will manage end‑to‑end spare parts execution for multi‑million‑euro project supply contracts, ensuring orders are processed, delivered, and closed efficiently and accurately.

This role directly impacts our ability to convert orders into revenue, maintain customer satisfaction, and safeguard EUR 5–10 million in projected aftersales business. You will serve as the key interface across Sales, Procurement, Logistics, Export Control, GTS / Compliance, Planning, Finance, and external distributors to ensure all operational, documentation, and compliance requirements are met.

What you will be doing:
1. Project Spare Parts Management
  • Manage and execute spare parts orders for project supply contracts across the APAC region.
  • Oversee end‑to‑end “order‑to‑cash” activities, including order validation, processing, fulfilment, and closure.
  • Track order progress, delivery schedules, and customer milestones to avoid delays and revenue leakage.
2. Coordination With Internal / External Stakeholders
  • Work closely with Sales, Procurement, Planning, Logistics, and Service teams to ensure delivery commitments are met.
  • Liaise with Parts Technical teams for BoM validation, parts maintenance kits, and technical recommendations.
  • Coordinate with 3PL partners on picking, packing, export documentation, and shipment execution.
3. Export Control, Compliance & Documentation
  • Manage Export Control approval workflows and ensure compliance with GTS and internal governance requirements.
  • Validate that documentation (e.g., invoices, packing lists, shipping documents, compliance declarations) meets Defence / Military regulations.
  • Ensure proper recordkeeping for audit and traceability.
4. Inventory, Availability & Demand Planning
  • Monitor stock availability and escalate supply constraints to Planning and Procurement.
  • Support forecasting activities for customers and distributors, aligned to sales performance and project pipelines.
  • Analyze monthly, quarterly, and annual parts forecast submissions.
5. Customer & Distributor Engagement
  • Handle all parts enquiries and ensure timely, accurate responses for both external and internal distributors.
  • Maintain strong relationships with key customers and distributors to ensure operational issues are promptly resolved.
  • Track business plans from distributors and monitor achievement of revenue targets.
6. Financial & Administrative Responsibilities
  • Work with Finance to process credit / debit notes according to signing authority.
  • Support price list distribution and ensure discount matrices are kept updated in SAP.
  • Manage warranty claims, returns, and related credit processes.
7. Continuous Improvement & Reporting
  • Analyze order trends, fulfilment performance, and pain points to propose process improvements.
  • Prepare accurate reports on order execution status, delivery performance, and risk areas.
  • Contribute to cross‑functional operational meetings, ensuring issues (e.g., availability, shipping, compliance) are followed up to closure.
Position requirements
  • Bachelor’s degree / Diploma in Logistics Management, Supply Chain, Business Administration, or related discipline.
  • At least 5 years of relevant experience in Order Management, Logistics, Supply Chain, or Spare Parts business—preferably in Defence, Military, Heavy Engineering, or Industrial sectors.
  • Strong knowledge of SAP (SD module), export control processes, Incoterms, and supply chain documentation.
  • Experience coordinating multiple stakeholders and managing high‑value, time‑sensitive spare parts projects.
Skills & Competencies

  • Defence / Military export compliance experience.
  • Experience with 3PL management and complex logistics flows.
  • Understanding technical parts lists, BoMs, and spare parts kits.
  • Prior experience in products, engines, or power systems.
