Job description

This is a 1-year part-time contract role (3 out of 5 weekdays), with the possibility of a 6-month extension. The individual’s tenure and responsibilities will depend on the specific projects assigned. As part of your role, you will report to and work with the Vice President, Accreditation & Professional Development and relevant Project teams.

The role may also include working with SID’s Accreditation & Professional Development Committee, the SID Executive Team, eco‑system partners, and any other relevant committees that are part of the assigned projects.

Scope of Work

You will support the Vice President, Accreditation & Professional Development primarily in the following areas:

Key Deliverables
  • Handle the preparation and submission of training grant and funding applications (such as SkillsFuture and SSG‑TPGateway).
  • Support the administration of any grant or subsidies for accreditation‑related matters in line with SSG guidelines.
  • Keep clear and organised records of all funding and grant activities using Excel and SID’s internal systems.
  • Work with the Finance team to match and verify grant disbursements and supporting documents.
  • Assist to prepare funding reports and summaries for management reviews or audits.
  • Support invoicing, speaker agreements and preparation of contracts for SID programmes.
Key Responsibilities
  • Manage the collection, verification, and processing of funding‑related information and documentation for TPGateway grant submissions.
  • Prepare and coordinate training grant applications and claims through TPGateway.
  • Follow up with SID members or partners on funding progress, pending claims, and audit requirements to keep submissions on track.
  • Check and compile learner and attendance details needed for SSG reporting.
  • Support the Accreditation team with administrative work related to any funded or subsidised initiatives.
  • Keep funding records well organised with proper document control and version tracking.
  • Work closely with other teams to ensure data consistency across iMIS, Excel trackers, and funding reports.
  • Support the preparation of reports and documents for grant audits or compliance reviews.
  • Help with other administrative or event‑related tasks when needed to support the APD team.
Requirements
  • Diploma or equivalent, preferably in Business Administration, Finance, or Training Management.
  • Minimum 2 years of experience in training grants, funding administration, or working within an education or training environment.
  • Comfortable using SSG’s Training Partner Gateway (TPGateway) and familiar with SkillsFuture funding processes.
  • Proficient in Excel, with the ability to organise data, check figures, and create simple reports.
  • Careful and detail‑oriented, with a good sense of accuracy and compliance.
  • Strong communication and coordination skills, able to work well with colleagues and external partners.
  • Proactive, well‑organised, and able to handle a few different deadlines at once.
Other Requirements
  • Prior experience with Engagement Management Systems (EMS), Customer Relationship Management (CRM) systems, Learning Management Systems (LMS).
  • Understanding of SSG funding and audit requirements.
  • Customer service mindset and collaborative team spirit.
