Executive Assistant to CEO (Finance & Strategic Support)

A high-impact role designed to elevate the CEO’s efficiency, sharpen organisational discipline, and ensure flawless financial and operational follow-through across the company.
This role is ideal for someone who is meticulous, proactive, structured — and enjoys making things run like clockwork.

You will be the CEO’s operational right hand, ensuring that financial documents are audit-clean, staff tasks are completed on time, and the CEO’s day runs smoothly and strategically.

Key Responsibilities
1. CEO Operations & Task Oversight Across Departments
  • Maintain a structured CEO Master To-Do List, aligning tasks across departments.
  • Follow up HODs and the teams to ensure tasks assigned by the CEO are completed accurately and on time.
  • Act as the CEO’s execution partner— turning instructions into action plans and ensuring follow-through.
  • Track progress, send reminders, elevate delays, and ensure company-wide accountability.
  • Assist in project coordination, timelines, deliverables, and cross-department task management.
2. Executive Support & Administration
  • Manage the CEO’s schedule, appointments, internal/external meetings, and travel arrangements.
  • Screen emails, calls, and communications on behalf of the CEO.
  • Prepare meeting notes, summaries, and follow-up actions for management/board discussions.
  • Maintain confidentiality, professionalism, and discretion at all times.
3. Personal Assistance & Mobility Support
  • Assist with personal errands, ad hoc requests, and operational support as required.
  • Role may require, but not limited to, driving the CEO to meetings, events, or off‑site appointments.
  • Ensure the CEO’s day flows seamlessly with minimal friction or delays.
4. Financial & Accounts Governance
  • Track outstanding payments, vendor issues, and missing documentation; follow up with Finance.
  • Proactively monitor monthly expenses and flag irregularities or abnormal spending trends for the CEO.
  • Prepare and present fully verified payment batches for CEO approval — zero error, zero missing info.
Qualifications & Skills
  • Strong working knowledge of accounts, invoicing, payment workflows, and financial documentation.
  • Experience as an EA/Finance Executive/Operations Coordinator is an advantage.
  • Excellent communication skills — clear, professional, and concise.
  • Highly organised with exceptional attention to detail.
  • Proficient in Microsoft Office, Google Workspace, and basic accounting software.
  • Able to manage deadlines, multitask, and perform well under pressure.
  • High integrity, discretion, and reliability.
  • Valid Class 3/3A licence preferred (for occasional CEO driving duties).
