Job Overview

We are seeking a discreet, highly organized Executive Assistant Secretary to provide comprehensive support to senior leadership. This role demands exceptional judgment, outstanding communication skills, and the ability to anticipate needs in a fast-paced environment.

Working Location: Central, Singapore
Working Hours: Monday - Friday, 9AM - 6PM

Key Responsibilities
  • Calendar Management: Coordinate complex schedules, meetings, and conference calls; arrange domestic and international travel.
  • Communication Handling: Screen and prioritize calls, emails, and correspondence; manage inquiries with professionalism.
  • Document Preparation: Draft, review, and edit correspondence, presentations, reports, and other materials to a high standard.
  • Meeting Coordination: Organise logistics, prepare agendas and materials; attend meetings, take minutes, and track follow‑up actions.
  • Project Support: Assist with special projects and strategic initiatives through research, data compilation, and reporting.
  • Event Planning: Organise executive events and liaise with internal teams and external stakeholders.
  • Expense Management: Process claims and maintain accurate financial records.
  • Confidentiality: Handle sensitive information with utmost discretion.
  • Administrative Duties: Oversee document handling, office upkeep, and general administrative tasks.
  • Executive Communication: Draft responses and written communications for CEO review.
  • Ad‑hoc Support: Perform additional duties as assigned by the Executive.
Skills & Qualifications
  • Diploma or Bachelor’s degree preferred; equivalent experience considered.
  • 5+ years in an Executive Assistant, Personal Assistant, or senior administrative role (C‑suite exposure preferred).
  • Exceptional written and verbal communication skills.
  • Proficiency in Microsoft 365 and Google Workspace (calendar, email, Excel/Sheets, PowerPoint/Slides).
  • Strong ability to prioritise, multitask, and meet tight deadlines with attention to detail.
  • High degree of professionalism, discretion, and sound judgement.
  • Comfortable with after‑hours support and 24/7 standby availability.
