We are seeking a highly detail-oriented and proactive Export Documentation Executive to manage and execute export documentation processes for international shipments. The ideal candidate will ensure full compliance with global trade regulations, support smooth customs clearance, and coordinate effectively with internal teams and external logistics partners.
Prepare, verify, and process all export documentation, including:
Commercial Invoices
Packing Lists
Certificates of Origin
Shipping Instructions
Bills of Lading and related documents
Ensure full compliance with international trade regulations, customs requirements, and company documentation standards.
Coordinate closely with internal departments (Sales, Supply Chain, Finance) to ensure timely and accurate shipment documentation.
Liaise with freight forwarders, shipping lines, and customs brokers for permits, clearances, and dispatch schedules.
Ensure correct HS codes, duty structures, and regulatory classifications are applied during customs clearance.
Maintain accurate, well-organized digital and physical records of all export transactions.
Monitor shipment status and proactively resolve documentation or clearance-related issues.
Stay updated on changes in export regulations, trade policies, and documentation requirements.
Support audits and compliance checks related to export documentation.
Bachelor’s degree in Commerce, Logistics, International Business, or a related field (or equivalent practical experience).
Strong working knowledge of:
Export documentation procedures
International trade regulations
Incoterms (latest version preferred)
Proficiency in MS Excel and working experience with SAP SD module is highly desirable.
High level of attention to detail and accuracy in document preparation.
Strong organizational and time-management skills with the ability to manage multiple shipments simultaneously.
Excellent communication and coordination skills to work with cross-functional teams and external partners.
Ability to adapt quickly to changing regulations and business priorities.
Capable of working under pressure in a fast-paced, high-volume export environment.
