Job Purpose
The Document Controller will be responsible for managing all construction and technical documents for the company. She will be implementing processes and tools, providing system reports, maintaining and updating electronic information systems, distributing documents, and ensuring accuracy of all documentation.
Key Responsibilities
- Responsible for creating and maintaining a filing system that supports efficient information management with the project team.
- Effectively follow the Company’s standard operating procedures in submissions of documents and responsible for complying with Project Control System procedures for proper documentation.
- Conduct regular review audits to ensure information on all records is accurate and up to date.
- Provide administrative support for site set-up and maintenance.
- Coordinate with all departments to assure that all documents are kept in the right place and in the right department file archive to ensure consistency across the business.
- Ensure that all corporate documents are well checked and submitted on time prior to the document’s submission due date. Not all employees follow the standard format thus making it the responsibility of a Document Controller to edit documents that have typographical errors and other types of errors that may lead to the disqualification of a document.
- Submission of samples, drawing, ISO document and progress weekly report to respective stakeholders.
- Follow up with consultants for the approval of samples, including coordination with the trade conductors.
- Responsible for submitting corporate documents punctually ensuring that ISGs quality standards are met. Documents with poor quality may lead to an operational problem hence it is important to submit each document with standard quality.
- Keep track on submission of shop drawings, once approved, copies of the updated drawings are to be printed and sent to site.
- Ensure that all documents are submitted to their pre-designated departments before the required submission date expires in order to make submissions early.
- Filing of documents in hard and soft copies ensuring OMM are maintained.
- Keep track of all Company records by looking through both hard files and computer database files on a regular basis. Keep track of any document changes by highlighting document modifications so that these changes can be viewed by upper management personnel.
- Submission for fit-out deposits refunds.
- Provide general administrative support to the project teams as required
