Job summary

A professional staffing agency is seeking an experienced administrative assistant in Singapore to manage school-related operations for a period of 2 months. This role involves scheduling, managing correspondence, and providing logistical support during school events. Candidates must have at least 3 years of administrative experience and be proficient in Microsoft Office and Canva. Working days are Monday to Friday, with specific hours assigned. Only shortlisted candidates will be notified.

Job description
1. Administrative Functions
  • Manage reception duties and enquiries
  • Schedule appointments and maintain school calendars
  • Prepare and distribute letters, memos, and reports
  • Support school events and activities
  • Handle procurement tasks
  • Liaise with teachers, students, and parents
  • Manage office supplies and inventory
  • Perform data entry and maintain databases
  • Assist the admissions team during peak periods
2. Operations Functions
  • Provide logistical and coordination support for school events
  • Liaise with external vendors
  • Support the Safety Committee and Vice Principal by:
    • Coordinating safety meetings and follow-up actions
    • Managing safety records and reports
    • Organising fire and lockdown drills
    • Communicating with external agencies on safety matters

Requirement:

  • GCE A Level, Diploma, or equivalent
  • Minimum 3 years of administrative experience
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Proficient in Canva
  • Strong communication and coordination skills
  • Organised, resourceful, and able to multitask effectively

Duration/ Working hours:

2 months- cover maternity (5 Jan 2026 to 6 Mar2026)

  • Mondays to Thursdays: 8:30am to 6:00pm, inclusive of 1hr lunch break
  • Fridays: 8:30am to 5:30pm, inclusive of 1hr lunch break
  • Service not required on Saturdays, Sundays and gazetted public holidays
