Job description

We are seeking a proactive and detail-oriented Administrative Assistant to support our daily operations. This role is crucial in ensuring smooth office functions, handling a broad range of administrative tasks, and providing support to managers and colleagues. The position reports directly to the HR Manager.

Duties & Responsibilities
  • Manage requisitioning and inventory of office, pantry, and cleaning supplies to ensure adequate stock levels.
  • Provide end-to-end administrative support, including travel arrangements (flights, visas, hotel bookings, and travel insurance).
  • Maintain accurate and up-to-date employee records, including organisational charts.
  • Oversee office maintenance contracts and coordinate servicing schedules (air-conditioning, carpet cleaning, office cleaning, etc.).
  • Perform data entry and maintain proper filing and e-filing systems for efficient record retrieval.
  • Support insurance administration, including employee medical coverage, claims processing, and annual renewals.
  • Assist with staff welfare initiatives, including company events and team-building activities.
  • Handle correspondence, emails, and phone calls professionally and promptly.
  • Support HR with basic leave and attendance tracking and records maintenance.
  • Undertake ad hoc projects and tasks as assigned by management.
Requirements
  • GCE "O" Levels and above
  • At least 1 year of relevant experience
  • Proficient in Microsoft Office (Word, PowerPoint, Excel)
  • Strong communication and interpersonal skills with a positive working attitude
  • Ability to work both independently and collaboratively as part of a team
