The Administration Manager is responsible for overseeing and managing the day-to-day administrative, operational, and compliance functions of the security agency. This role ensures smooth coordination between management, security officers, clients, and regulatory bodies, while maintaining compliance with Singapore’s security industry regulations.

Key Responsibilities
1. Administrative & Office Management
  • Supervise daily administrative operations and ensure efficient workflow.
  • Manage office supplies, documentation, filing systems, and correspondence.
  • Coordinate schedules, meetings, memos, and internal communications.
  • Oversee admin staff performance and provide guidance when necessary.
2. Licensing & Regulatory Compliance (PLRD Requirements)
  • Handle all licensing matters for security officers (SO) and security agency licenses.
  • Ensure timely renewal of PLRD licences, SIR training certifications, and regulatory documents.
  • Maintain accurate records required by the Police Licensing & Regulatory Department (PLRD).
  • Ensure the company adheres to all requirements of the Private Security Industry Act.
3. HR & Manpower Coordination
  • Assist with recruitment, onboarding, and deployment of security officers.
  • Prepare employment contracts, staff records, and HR documentation.
  • Coordinate schedules, duty rosters, leave applications, and manpower assignments.
  • Track attendance, performance, and disciplinary records.
4. Client Coordination & Service Support
  • Assist Operations Manager in handling client inquiries and preparing reports.
  • Prepare quotations, contracts, invoices, and service agreements.
  • Ensure timely communication between clients and internal teams.
  • Support client audits and site documentation requirements.
5. Financial & Procurement Duties
  • Manage administrative budgets, petty cash, and procurement of office items.
  • Assist in payroll preparation (timesheets, allowances, OT records).
  • Coordinate billing, invoicing, and vendor payments with the accounts team.
6. Reporting & Documentation
  • Maintain updated registers (deployment, training, licensing, assets, uniform issuance).
  • Prepare monthly reports, manpower lists, and compliance submissions.
  • Support ISO / internal audits where required.
Skills & Qualifications
  • Diploma or Degree in Business Administration, Management, or related field.
  • Experience in a security agency or manpower/operations industry preferred.
  • Strong understanding of PLRD regulations and security licensing processes.
  • Excellent communication, coordination, and problem-solving skills.
  • Able to handle confidential information with professionalism.
  • Proficient in MS Office (Excel, Word, PowerPoint).
