Job Requirements
  1. Minimum experience in office administration for managing air tickets, office supplies, vehicle insurance, road tax and etc.
  2. Excellent in Microsoft Office programs/Libre Office programs.
  3. Excellent written and verbal communication skills to record meeting minutes.
  4. Excellent time management skills and ability to multi-task and prioritize work
  5. Knowledge of office management systems and procedures.
  6. Experience in Safety & ISO would be an added advantage.
  7. Able to handle cross-department communication effectively.
  8. HR skills would be an added advantage.
Job Description
  1. To organize and record Department Manager Meetings and Department Meetings.
  2. To monitor and renew Vehicle Insurance, Road Tax, Vehicle Inspection and update the Vehicle Register.
  3. To keep the records for Vehicle Servicing & Summons and update the Vehicle Register accordingly.
  4. To handle and renew Company Mobile Phones and Update the Mobile Phone Register.
  5. Booking Air Tickets and Hotel accommodation and keeping records through approved vendors.
  6. To prepare Purchase Requisition for Stationery Items, Catridges, and Car Maintenance / Service.
  7. Update Phone Extention Number and circulate to all staff when necessary.
  8. Ordering Flowers and Gifts for Customers (Hazel flowers).
  9. To update Technical Contracts Register for Spare parts and Engines Agreement and PO.
  10. Monitoring the office housekeeping.
  11. Communicating with all Branches for Approval requisition and document controlling.
  12. Handling all Stationery items and dispatching including Cameras.
  13. Raising Petty Cash for Postal Stamps and Car Parking coupons.
  14. Controlling all supplier receipts and raising Applications for Payment.
  15. Relief for the receptionist when the receptionist is on leave.
  16. Ad-hoc jobs assigned by the department manager.
