Job description

We are seeking a dedicated Admin to provide administrative support. The role involves general office admin duties.

Office Administration
  • Manage daily office operations to ensure a smooth working environment
  • Handle incoming calls, emails, correspondence, and enquiries
  • Maintain office supplies, inventory, and place orders when needed
  • Organize and maintain physical and digital filing systems
  • Coordinate office maintenance, repairs, and liaise with vendors/contractors
Documentation & Reporting
  • Prepare, update, and maintain documents such as invoices, quotations, reports, forms, and letters
  • Assist with preparing meeting minutes, summaries, and follow-up actions
  • Handle data entry and ensure accuracy in all records
HR & Staff Support (optional/add-on)
  • Assist with new staff onboarding and document collection
  • Maintain staff records, leave tracking, and schedules
  • Support HR with recruitment arrangements and interview scheduling
Customer / Client Coordination
  • Handle customer or tenant enquiries professionally
  • Coordinate appointments, deliveries, or bookings
  • Follow up on outstanding tasks with teams, suppliers, or customers
Compliance & Record Maintenance
  • Ensure all documents, contracts, agreements, and licenses are up to date
  • Support management in ensuring compliance with company policies and procedures
Miscellaneous / Ad‑hoc Support
  • Assist management with any administrative tasks as assigned
  • Run simple errands when needed
  • Provide support across teams to ensure smooth workflow
Requirements

Diploma in Business Admin (or equivalent)

1–2 years’ relevant experience preferred (entry‑level candidates welcome)

Proficient in MS Office

Detail‑oriented, organized, and able to work independently

Good communication and teamwork skills

Able to communicate in Mandarin (to liaise with Mandarin‑speaking clients/suppliers)
