Position Title: Accounting & Finance Executive

Department: Finance

Reports To: Finance Manager / Head of Finance

Employment Type: Full-time

1. Job Summary

The Accounting & Finance Executive is responsible for maintaining accurate financial records, supporting daily accounting operations, preparing financial reports, and assisting in budgeting, auditing, and compliance activities. This role ensures the company’s financial processes run efficiently and meet statutory requirements while providing timely financial insights to management.

2. Key Responsibilities
A. Accounting Operations
  • Maintain full sets of accounts including AP, AR, GL, and bank reconciliations.
  • Process invoices, payments, receipts, journal entries, and month-end closing activities.
  • Prepare monthly, quarterly, and annual financial statements (P&L, Balance Sheet, Cashflow).
  • Manage expense claims, petty cash, and staff reimbursements.
B. Accounts Payable (AP)
  • Verify and process supplier invoices, ensuring accuracy and timely payment.
  • Reconcile vendor statements and handle discrepancies.
  • Maintain AP ageing reports and monitor credit terms.
C. Accounts Receivable (AR)
  • Generate customer invoices, credit notes, and revenue entries.
  • Monitor collections, follow up on overdue payments, and update the AR ageing report.
  • Maintain accurate customer records and receipts.
D. Cash & Bank Management
  • Perform daily bank reconciliation and cash flow monitoring.
  • Assist with banking transactions, fund transfers, and deposits.
  • Maintain petty cash records and ensure proper documentation.
E. Compliance & Audit Support
  • Prepare GST submissions, withholding tax, and other statutory filings.
  • Support internal and external audit processes by preparing audit schedules.
  • Ensure all financial records comply with standards and government regulations.
F. Inventory & Cost Control (if applicable)
  • Assist in stock reconciliation with operations team.
  • Track cost of sales, wastage, margins, and pricing support.
G. Financial Planning & Analysis
  • Assist in budget preparation, financial forecasts, and variance analysis.
  • Prepare regular management and performance reports.
  • Conduct simple financial analysis to support decision-making.
H. Internal Controls & Process Improvement
  • Ensure proper documentation, filing system, and data accuracy.
  • Maintain internal control procedures to protect company assets.
  • Recommend improvements for workflow efficiency and data accuracy.
3. Job Requirements
Qualifications

Diploma/Degree in Accounting, Finance, or related field.

Professional certifications (ACCA, CAT, LCCI) are an advantage.

Experience

1–3 years of relevant working experience in accounting or finance roles.

Experience with accounting software (e.g., Xero, MYOB, QuickBooks, SAP) preferred.

Fresh graduates with strong foundation in accounting may be considered.

4. Working Conditions
