Job summary

A leading service company in Singapore is seeking a proactive Accounts & Administrative Assistant. You will perform bookkeeping, manage accounts payable and receivable, and provide administrative support. The ideal candidate should have a Diploma in Accounting or a related field, experience in basic accounting functions, and proficiency in MS Office. Strong organizational skills and attention to detail are essential for success in this role.

Qualifications

  • Minimum Diploma in Accounting, Finance, Business Administration or related field.
  • Basic accounting knowledge with experience in AP/AR, payment processing, and sales commission calculations.
  • Able to prepare simple P&L statements and assist in budgeting.
  • Proficient in MS Office (Excel, Word); QuickBooks knowledge is an advantage.

Responsibilities

Job description

We are looking for a proactive and detail-oriented Accounts & Administrative Assistant to join our team. The ideal candidate will handle basic accounting tasks, process payments and sales commissions, and provide administrative support to ensure smooth day-to-day operations.

Job Responsibilities
Accounting Functions
  • Perform simple bookkeeping, including data entry and maintenance of accounting records.
  • Handle Accounts Payable (AP) and Accounts Receivable (AR) functions.
  • Process payments to suppliers, prepare payment vouchers, and ensure timely settlement.
  • Perform bank reconciliation, petty cash management, and monthly accounting routines.
  • Prepare basic Profit & Loss (P&L) statements, monthly summaries, and assist with reporting.
  • Support budgeting activities, updating budgets, monitoring expenses, and tracking variances.
  • Maintain accurate documentation and filing of all accounting and financial records.
  • Process Sales Commission for promoters accurately and timely.
  • Liaise with outsourced Accounts Service Provider for documents and month-end closing.
  • Coordinate with existing and new bankers for bank loans and financing payments.
  • Knowledge of QuickBooks is an advantage.
Administrative Duties
  • Issue Delivery Orders (DOs), payment vouchers, invoices, and other related documents.
  • Assist in inventory/stock checking when required.
  • Coordinate with suppliers, customers, and internal teams for document flow and follow-ups.
  • Maintain proper filing, documentation, and administrative records.
  • Support daily operational needs and ad-hoc duties assigned by management.
Requirements
  • Ø Minimum Diploma in Accounting, Finance, Business Administration or related field.
  • Ø Basic accounting knowledge with experience in AP/AR, payment processing, and sales commission calculations.
  • Ø Able to prepare simple P&L statements and assist in budgeting.
  • Ø Proficient in MS Office (Excel, Word); QuickBooks knowledge is an advantage.
  • Ø Strong attention to detail, organised, and able to manage multiple tasks.
  • Ø Responsible, proactive, and able to work independently with minimal supervision.
  • Ø Previous administrative experience required.
  • Ø Immediate availability is required.
