Sales Coordinator

Location: Loyang Way
Working Days: Monday – Friday
Working Hours: 8:00am – 5:18pm
Salary: $2,880 (After confirmation: $3,200)

Job Overview

The Sales Coordinator supports the Sales Manager and Sales Executive by managing sales administration, customer orders, vendor enquiries, purchasing activities, and inventory coordination to ensure accurate and timely fulfilment of customer requirements.

Key Responsibilities
A. Customer Enquiry Management
  • Process customer enquiries, prepare quotations, and provide product information (brochures, samples, etc.).
  • Follow up on enquiries and track conversion to orders.
  • Prepare monthly reports on enquiry-to-sales performance.
B. Customer Order Management
  • Acknowledge and process customer orders according to requirements.
  • Prepare Sales Orders for immediate or scheduled delivery.
  • Update customers on delivery status, shipment details, and any delays.
  • Handle backorders and changes in delivery schedules.
  • Perform sales invoicing when required.
C. Vendor Price Enquiry
  • Source and identify suitable vendors for product information.
  • Obtain and evaluate quotations on pricing, delivery, and payment terms.
  • Support negotiation of vendor terms.
D. Purchase Order Processing
  • Perform purchasing to support customer orders and stock replenishment.
  • Generate Purchase Orders and track delivery status with vendors.
E. Inventory Management
  • Monitor stock levels to meet customer requirements.
  • Place replenishment orders when inventory falls below required levels.
  • Track slow-moving and non-moving stock.
  • Assist in annual and ad-hoc stock audit activities.
Auxiliary Responsibilities
A. Sales & Marketing Support
  • Conduct market research when needed.
  • Maintain product literature, catalogues, newsletters, and technical information.
  • Assist in special projects, contracts, promotions, and exhibitions.
  • Provide sales and inventory data for reporting purposes.
  • Support customer and vendor engagement activities.
B. Inter-Department Coordination
  • Support Accounts with credit evaluation and overdue receivables where required.
  • Provide backup for sales and invoicing functions.
  • Coordinate with QA on vendor qualification.
  • Liaise with internal departments for related sales and operations matters.
