Overview

We are seeking a professional and organized Office Administrator to join our client in the financial industry. The ideal candidate will provide essential administrative support across the organization. This role requires excellent communication skills, a positive attitude, and the ability to multitask in a fast-paced environment.

Responsibilities
  • Administrative Support: Manage incoming and outgoing mail, packages, and deliveries.
    Schedule and coordinate meetings, appointments, and conference room bookings.
    Assist with administrative tasks such as data entry, filing, and document management.
  • Travel arrangements: Manage high volume of travel arrangements for the private investment team and ensure adherence to the firm’s travel policies and guidance. The areas of support include booking of flights, drafting travel itineraries, visa applications and booking of accommodations.
  • Office Supplies and Inventory: Monitor and maintain office supplies inventory.
    Place orders for office supplies and ensure timely restocking.
    Manage and organize supply storage areas.
  • Communication and Collaboration: Liaise with internal departments to ensure effective communication and coordination.
    Assist in the planning and execution of company events and meetings.
    Provide support to the HR and Operations teams as needed.
Requirements
  • High school diploma or equivalent; additional qualifications in office administration are a plus.
  • Proven experience as a receptionist, front office representative, or similar role in the financial industry.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Professional appearance and attitude.
  • Ability to maintain confidentiality and handle sensitive information.
Working Conditions
  • Full‑time position, Monday to Friday.
  • Office environment with standard business hours.
