Role Purpose
The Product Specialist is responsible for supporting the Machinery Sales Division through effective product administration, data analysis, coordination with internal departments, and supporting the sales team in achieving monthly and annual targets. The role ensures smooth product operations, accurate reporting, customer support, and efficient workflow across sales, procurement, logistics, and finance. With at least 7 years of relevant experience, the Product Specialist contributes to enhanced operational efficiency and business performance.
Key Responsibilities
1. Business Administration (40%)
- Manage clerical, administrative, and secretarial functions to support the Product and Sales teams.
- Follow up with sales representatives to collect full payments for reserved/sold units in alignment with monthly targets.
- Support KAMs, AKAMs, and the Product Manager in meeting monthly and annual business goals.
- Coordinate and arrange business travel, including hotel bookings and flight arrangements.
- Prepare official letters, memos, presentations, and documentation as required.
- Communicate regularly with Procurement, Purchasing, and Logistics departments to ensure smooth operations.
- Maintain and monitor monthly stock reports and update product availability.
- Coordinate demo unit planning, scheduling, and delivery to customers.
- Manage weekly collections and follow up on outstanding payments.
2. Data Analysis & Problem Solving (30%)
- Analyze monthly and yearly gross and net income figures and prepare graphical reports for management review.
- Support customer issue resolution by coordinating with relevant teams and ensuring customer satisfaction.
- Assist in identifying operational challenges and provide recommendations for continuous improvement.
3. Performance & Team Coordination (30%)
- Coordinate with the logistics team to plan, schedule, and supervise the loading and offloading of units.
- Support the Product Manager and Division Head in achieving performance targets.
- Maintain detailed logs of imported units, ensuring customs registration and documentation are consistently updated.
- Handle a variety of administrative tasks to ensure seamless departmental operations.
Experience Required:
- Minimum 7 years of experience in product support, administration, or a similar role within a trading or machinery‑related business.
Education Required:
- Bachelor’s Degree in Business Administration, Marketing, Industrial Engineering, or a related field.
