Ideal candidate holds a Bachelor's degree, 2 years of relevant experience, fluent in English and Arabic, and proficiency in Word, PowerPoint and Excel; evening/weekend availability may be required and confidentiality a must.

Qualifications

  • Bachelor's degree in business/public administration or related field.
  • Two years of related experience, preferably in a higher education setting.
  • Excellent written and oral communication in English and Arabic.
  • Excellent computer skills (Word, PowerPoint, Excel).
  • Ability to work collaboratively with faculty, students and staff.

Responsibilities

  • Schedule appointments, prepare agendas, and coordinate meetings for the senior administrator.
  • Maintain work schedule with high attention to detail and follow‑up.
  • Interact with students, faculty, staff and visitors; prepare correspondence and documents.
  • Ensure timely completion of travel, conference registrations, and accommodations.
  • Assist in facilitating workshops, visits and events.
  • Perform other related duties as assigned.

Job description

UPM is looking for a Saudi of the highest caliber to fill the vacancy of Executive Assistant (Male Campus):
Functional Description:

Functions as a top-level contributor within the office. Provides administrative support to the office. Actively assists in coordinating the administrative and operational activities of the department.

Major Duties and Responsibilities:
  • Schedule appointments, prepare agendas, and coordinate meetings relevant to the execution of the senior administrator’s scope of work as appropriate; keep the administrator on a timely schedule in and between meetings.
  • Keep work schedule and activities that require a high attention to detail and continual follow‑up.
  • Interacts effectively and courteously with students, faculty, staff and visitors in response to their inquiries and requests. Compose and/or type correspondence, reports, meeting minutes, contracts, requisitions, and other documents.
  • Carries out all duties with a high degree of accuracy and attention to deadlines.
  • Acts as a first point of contact for the department.
  • Plans and coordinates meetings
  • Serves on various committees and teams within the department , the Vice Rectorate, and/or the university, and collaborates with other university administrations.
  • Ensure the completion and accuracy of travel, conference registration, and overnight accommodations for the administrator.
  • Assists in facilitating and coordinating workshops, visits and other events.
  • Perform other related duties as assigned.
Required Education, Skills and Experience:
  • Minimum Bachelors Degree, in business/ public administration, social/ behavioral science, education or a related field, Master Degree is preferred.
  • Two years of related experience, preferably in a higher education setting.
  • Excellent written and oral communication skills in both English and Arabic.
  • Excellent Computer Skills (Word, PowerPoint, and Excel).
  • Ability to work collaboratively with faculty, students and staff.
  • Ability to maintain confidential records, prepare reports, compose letters and memoranda, and understand and follow oral and written instructions is required.
  • Attention to detail and high level of accuracy.
  • Organize, prioritize and perform multiple tasks concurrently.
  • Evening and weekend work may be required.
