A global technology leader seeks a QMS Senior Administrator to manage the Quality Management System repository. Key responsibilities include supporting document authors, maintaining QMS integrity, and coordinating change requests. Ideal candidates will have 2 to 5 years of quality management experience, fluency in English, and familiarity with SharePoint. The QMS Senior Administrator supports the management of the LCS Quality Management system repository through working with users and other members of the quality team in creating or revising QMS documents within the QMS (Sharepoint) repository. You will ensure version control, document traceability, and the proper archival of obsolete documents. It supports the QMS governance process by coordinating change requests with the process owners and by administrating the QMS change management process (CAPA). You advise document authors in creating documents within the QMS framework, e.g., by selecting appropriate templates and document IDs. You will review draft procedures for formal properties, and provide feedback to the author, or finalise the required changes. During the approval cycle you will help start review workflows with the document author, if required, and run approval workflows according to the requirements of the QMS governance scheme.
The QMS Senior Administrator resolves issues that might arise from technical problems or unforeseen organisational bottlenecks, while at the same time ensuring the integrity of the QMS.
Also, the QMS Administrator supports business transformation plans by helping to document within the QMS, updating QMS documents under the direction of and to support the process owners, or defining and documenting quality assurance processes related to these plans.
Training employees on document control procedures and the use of the QMS repository system is also part of the role, as is monitoring repository usage and implementing improvements to enhance usability and compliance. The QMS Senior Administrator supports, tracks, and oversees the QMS Change Control processes and administers audit follow‑up activities such as monitoring issue closure and reporting indicators.
The QMS Senior Administrator might be a deputy for the QMS Manager during absences and can take over specific individual tasks of the QMS Manager when needed.
You will report to the LCS QMS Manager.
Scope: Global.
Update suites of QMS documents according to requirements of process owners or the QMS Manager for agreement to changing our requirements, e.g. in the context of business transformation plans.
Help authors with general questions related to the use of the QMS Sharepoint site.
Maintain the structure of the global LCS QMS.
Update entire QMS SharePoint site (layout, updates, links, and announcements) in collaboration with global QCE Manager or global QMS Manager.
Manage the publication of new QMS versions in collaboration with or as a backup to the global QMS Manager.
Maintain archived QMS versions.
Support the Change Control process throughout the LCS QMS.
Supporting regional quality leads in driving their local quality programmes.
Providing professional guidance to business and delivery teams, and Quality leads, and in QMS matters.
Collaborative, convincing, and helping the supported business teams in the change management process.
Persuading others in incorporating quality methods in their daily work.
Excellent quality mindset, and accuracy in operation, and cost‑oriented thinking.
Support management teams with the planning and delivery of quality process documentation.
Adequate for producing high‑quality professional process documentation.
Work with team members, peers, and management.
(In absence of an official degree a similar level of knowledge acquired through long‑term working experience might be considered as an alternative)
