We are seeking a motivated and organised Marketing & Administrative Assistant to join our growing team.
This entry‑level role combines marketing communication, administrative support, event coordination, partnership outreach, and the tracking of grants and public calls.
It is ideal for a proactive individual eager to grow in a dynamic international environment at the intersection of technology, sustainability, and innovation.
Key Responsibilities: Marketing & Communication
- Support content creation for website, newsletters, and social media (LinkedIn, YouTube, etc.)
- Assist in preparing marketing materials, press releases, case studies, and promotional campaigns
- Contribute to the design and coordination of digital assets (visuals, presentations, infographics)
- Monitor performance of communication channels, prepare analytics reports, and suggest improvements
- Support coordination with designers, external agencies, and internal stakeholders
Administrative & Operational Support
- Manage general correspondence: drafting and responding to emails, scheduling calls, and organising follow‑ups
- Assist in preparing, formatting, and maintaining contracts, agreements, and internal documentation
- Coordinate internal and external meetings, including agendas, notes, and follow‑up actions
- Maintain structured digital filing systems for marketing materials, contracts, reports, and communication assets
- Support day‑to‑day office and operational tasks to ensure smooth workflow across departments
- Assist the leadership team with ad‑hoc administrative tasks and coordination
External Relations & Events
- Research and map relevant exhibitions, conferences, and industry events for company participation
- Coordinate logistics, travel arrangements, event materials, and follow‑up communications
- Maintain and update the database of partners, institutions, and media contacts
- Represent the company at events, fairs, webinars, and online sessions when required
- Support preparation of briefing notes, talking points, and follow‑up documentation for meetings
Grants, Public Calls & Partnerships
- Research, monitor, and track relevant grants, accelerators, and public funding opportunities (EU, Swiss, international)
- Assist in preparing application materials, administrative documents, and supporting files
- Coordinate with internal teams to gather technical, financial, and marketing inputs for submissions
- Maintain a detailed calendar of funding deadlines and circulate regular updates to the team
- Support outreach and communication with institutional partners and networks (Swiss Sustainable Finance, EFRAG, etc.)
Profile & Qualifications
- Bachelor’s degree in Marketing, Communications, International Relations, Sustainability, Business Administration, or related field
- Excellent writing and communication skills in English; French or Italian is an asset
- Strong interest in sustainability, innovation, and technology
- Familiarity with LinkedIn, Canva, Mailchimp, and similar communication and design tools
- Highly organised, detail‑oriented, and comfortable managing multiple tasks simultaneously
- Strong research skills and ability to identify funding, partnership, or visibility opportunities
- Proactive, reliable, and collaborative, with a positive attitude and readiness to learn in a fast‑paced environment
Job Type: Full‑time
Pay: From €1,500.00 per month
