The Alexa organization is seeking a highly organized, proactive and driven Executive Assistant to support Directors in Sunnyvale, California. The Executive Assistant (EA) will be responsible for handling confidential information, maintaining professionalism in dealings with senior executives across the company, managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel. This candidate will help build a positive team environment and establish working relationships inside and outside of the group. The EA must be creative, organized, detail‑oriented, exercise good judgment, and possess strong written, verbal and administrative skills. The EA must be able to work in a dynamic, complex work environment, balance multiple priorities, work independently on projects from conception to completion, and operate under pressure to handle a wide variety of tasks, assignments and confidential matters with discretion. The EA must demonstrate a strong bias for action by handling administrative matters expeditiously, proactively and professionally to ensure successful completion of assigned projects and tasks.

Key Job Responsibilities
  • Manage an active and fluid calendar; meticulously schedule, coordinate and plan internal meetings, agendas and appointments.
  • Plan detailed domestic and international travel.
  • Manage expense report coordination and submission.
  • Organize, execute, and assist with team activities (staff meeting agendas, all‑hands meetings, off‑sites, and team social events).
  • Serve as the "gatekeeper" to the executive office, screening and prioritizing appointments/meeting requests while always providing polite and professional service.
  • Communicate on behalf of the senior executive directly with the leadership team and other stakeholders across the organization.
  • Help develop and maintain new organizational mechanisms.
  • Train other administrative staff on company policies and best practices.

A day in the life: This exciting role requires attention to detail, the ability to meet tight deadlines, excellent organizational skills, and the capacity to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, combined with professionalism in dealing with senior leaders and engineers, is essential, as is a good sense of humor. The successful candidate will complete complex tasks and projects quickly with minimal guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action with ambiguity while showing grace under pressure.

Basic Qualifications
  • 5+ years of executive assistant experience.
  • Experience with executive level calendar management.
  • Experience with domestic or international travel coordination.
  • Experience handling administrative details independently while exercising good judgment to keep team members adequately informed.
Preferred Qualifications
  • 7+ years of executive assistant experience.
  • Experience working with large global teams.
  • Experience leading process improvements.
  • Experience in a fast‑paced, high‑tech company.
  • Experience designing processes to maximize efficiency.
  • Experience with workspace planning/management.

Our compensation reflects the cost of labor across several U.S. geographic markets. The base pay for this position ranges from $66,800/year in our lowest geographic market up to $142,800/year in our highest geographic market. Pay is based on a number of factors including market location and may vary depending on job‑related knowledge, skills, and experience. Amazon is a total compensation company.
