Workplace Facilities Co-ordinator

Contract: Professional Services, Production & Technology

Location: Birmingham, B3 3AG

Hours of work: 37.5

Contract Type: Permanent

We are seeking an organised and proactive Workplace Facilities Co-ordinator to support the smooth operation of the Arcadis offices in Birmingham. In this role, you will help ensure a high-quality workplace experience for employees and visitors by coordinating services, managing data, and supporting workplace processes. You will work closely with the Workplace Facilities Manager and various teams to maintain service excellence, compliance, and operational efficiency.

This role plays a pivotal part in creating a positive and productive office environment, acting as a key point of contact for employees, suppliers, and service providers. You will have the opportunity to contribute to process improvements, sustainability initiatives, and workplace projects, helping to shape a safe, efficient, and welcoming workspace that reflects the core values of ISS and Arcadis.

Responsibilities
  • Provide operational support to the Workplace Facilities Manager and workplace teams.
  • Coordinate services including cleaning, catering, and maintenance to ensure seamless operations.
  • Maintain workplace records, reports, and documentation in line with policies and standards.
  • Monitor and update workplace management systems with accurate data.
  • Serve as the primary point of contact for workplace-related queries from employees and contractors.
  • Assist with budget tracking, invoice processing, and expense reconciliation.
  • Support ESG initiatives, including sustainability and waste management programs.
  • Identify and implement opportunities to streamline workplace processes and best practices.
Qualifications
  • Proven experience in a coordination role, preferably in facilities management or a workplace environment.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and workplace management systems.
  • Excellent organisational and multitasking skills, with the ability to manage competing priorities.
  • Strong written and verbal communication skills.
  • Familiarity with health and safety regulations and reporting processes (preferred).
  • Hold or be working towards a Facilities Management qualification (preferred).
