Key responsibilities include :
- Coordinate and facilitate meetings, including preparing agendas, collating documents, and producing accurate minutes.
- Manage written correspondence and documentation to support the daily activities of the Engineering Safety and Assurance (ES&A) team.
- Control and maintain documents issued by the ES&A team, ensuring records are accurate, up to date, and secure.
- Support the ES&A team in collating and managing data to demonstrate compliance across the Fleet function.
- Manage purchase orders and procurement activities for the ES&A team, and provide support to the Fleet Leadership Team where required.
- Provide professional administrative support for projects led by the ES&A team.
- Work with the ES&A team and Fleet Performance Manager to collate and publish data on business objectives and performance in regular reports.
- Organise and manage arrangements for internal and external audits, ensuring a professional and efficient process for both auditors and auditees.
- Conduct internal audits and assurance checks as directed by the Fleet Assurance Manager or Fleet Quality Manager, at EMR locations and external suppliers.
- Provide administrative cover across the Fleet function when required, which may involve working at different fleet locations.

You’ll also have :
- Significant experience in administrative and support roles.
- Strong IT skills, including proficiency in Word, Excel, PowerPoint, and Outlook.
- A Level 3 qualification in Business Administration or an equivalent subject (including Maths and English).
- Knowledge of basic project management principles.
- An understanding of the rail vehicle maintenance environment would be desirable.
