This role is instrumental in providing a high level of administrative and sighted-assistance support to the Head of Talent and Learning, as well as digital, Systems and administrative support to the Talent Acquisition, Learning and Internal Communications teams.
The Assistant will need to be passionate about digital accessibility, using social media for talent attraction and the latest learning systems, as well as support for internal communications media such as our intranet and Viva Engage, providing an exceptional service to the People team, C4 People Managers and C4 employees, and be comfortable working on a wide range of activities that cover all aspects of the Talent and Learning remit.
This role would suit someone looking to progress their career in HR, while gaining experience in three key specialist areas.
It requires a highly organised person who is keen to learn and enjoys variety in their role. You will need to be comfortable dealing with multiple tasks and having a busy workload which requires constant prioritisation.
Training will be provided but it is essential to have excellent communication skills, both written and verbal, have excellent Microsoft office skills and be very comfortable working with Systems and data.
KEY RESPONSIBILITIES
Sighted-assistance and support to the Head of Talent and Learning.
The current Head of Talent and Learning is severely sight-impaired. As such, part of this role will be to provide hands‑on assistance with, for example, but not limited to :
- Assistance accessing systems which require sight and are not immediately accessible
- Helping to format documents so they are visually appealing
- Assistance with interpreting visual products, such as videos etc.
- Help getting to and from meeting rooms if necessary
- Help booking access to work transport
- Sighted guidance outside the office to attend conferences . This may include but is not limited to meeting at the nearest station, walking to the venue, help introducing to other conference attendees, help with getting refreshments etc. Off‑site meetings and conferences may be during the working day and also may be in the evening or outside normal working hours. The role holder should therefore be comfortable with flexibility of working hours.
- These activities may well involve confidential company and personal information and therefore a high level of trust will be placed in the post holder.
- This type of support requires physical co‑location and therefore the post‑holder needs to be in the office at the same time as the Head of Talent and Learning.
Personal Assistance to the Head of Talent and Learning and the Head of Internal Communications
- Diary management.
- Produce high-quality PowerPoint slides for presentation.
- Arranging meetings and / or focus groups, including Leadership Group meetings.
- Meeting visitors.
Talent and Learning Team Assistance
- Provide Super‑user expertise in the management of Cornerstone : the Assistant will be involved in virtually in every aspect of the LMS.
- On‑going maintenance and support :
- Provide Technical Support : act as a Superuser with the Cornerstone LMS[the Learning Hive], as well as the LinkedIn learning digital content. The role will help online learners on how to access vital learning material. The role must provide basic technical support taking on basic troubleshooting tasks, escalating to Technology or the supplier where appropriate.
- Review Content : with an excellent eye for detail.
- Maintain Accurate Records : raising Purchase Orders and dealing with all the Talent and Learning Procurement Administration.
- Support the administration of Virtual and Face to Face Learning : where appropriate organise and provide administrative support to all aspects of virtual or face‑to‑face learning including but not restricted to : booking and advertising sessions; on‑boarding suppliers; booking venues; managing cancellations and rescheduling; recording attendance.
- Ad‑hoc training support : coordination and administration of other ad‑hoc programmes, such as (but not restricted to) I&D Programmes (e.g. MHFA); mentoring; Coaching Apprenticeships etc.. Ad‑hoc support also includes being on site when programmes are running to meet suppliers and facilitators, to trouble‑shoot during the day and to ensure partners leave the building safely.
- Leadership programmes : support and administration of leadership programmes.
- Internal coaching : administrative support (e.g. scheduling, administration etc) for any future internal coaching team.
- Learning at work week and special projects : key administrative contact for any ad‑hoc and project‑based interventions during the year.
Talent Acquisition Team Support
- Booking rooms, preparing interview schedules, and issuing supporting paperwork and documentation.
- Book interviews and utilise HireVue (our online video interviewing platform).
- Trackers are kept fully up to date.
- Manage the Recruitment Inbox daily.
- PO generation [similar to Learning admin].
- Create job descriptions and job adverts on LinkedIn.
- Assist with social media posts across Talent and Learning, including news, job postings and general updates.
Specific support to the Internal Communications team :
- Drafting simple communications for internal events, booking rooms and managing invitations.
- Assistance with internal social media activities such as posting stories on Viva Engage and Moss and creating simple polls.
ESSENTIAL EXPERIENCE & SKILLS
- Prior experience as an Administrator or Assistant.
- Understands the confidential nature of the work and can adhere to C4’s information security and GDPR requirements.
- Strong attention to detail.
- Excellent level Microsoft Office (especially PowerPoint but also Word, Excel and Outlook).
DESIRABLE EXPERIENCE & SKILLS
- Great customer service skills and the ability to communicate at all levels.
- Understand when to work at pace and when there is a need for sense of urgency.
- Operates well and is comfortable with ambiguity / change.
