Overview

The purpose of this role as the External Supply Co‑ordinator will be to support the External Supply Planners by ensuring timely order acknowledgements, delivery confirmations, and accurate ERP data. This role drives execution discipline and data integrity across the external supply chain operations. The External Supply Coordinator provides administrative and transactional support for supplier planning and scheduling activities. The role is essential to the daily execution of supply chain processes, ensuring that order acknowledgements, delivery confirmations, and ERP data are maintained in a timely and accurate manner. It acts as a critical support function to planners, helping to drive execution discipline and data hygiene across external supply operations., ERP Order Management

Responsibilities
  • Issue purchase orders and schedule updates based on planner and supplier feedback or ERP output.
  • Monitor open order report to ensure all POs are acknowledged within SLA.
  • Follow up with suppliers for missing acknowledgements or confirmations.
Data Maintenance, Reporting & Audit
  • Update planning data (e.g. lead times, minimum order quantities) under planner guidance.
  • Support audits and clean‑up activities related to supply parameters.
  • Run standard reports to support planner decision‑making.
  • Assist in preparing weekly / monthly supplier performance data.
  • Manage data and files effectively to ensure traceability.
  • Support cross‑functional alignment through clear data sharing and follow‑up.
Supplier Coordination & Communication
  • Download and disseminate exception message reports for order alignment.
  • Update inbound delivery dates in the system based on supplier communication.
  • Be first point of contact for basic supplier queries (e.g. PO copies, invoice references).
  • Send forecast data to suppliers on a regular cadence.
  • Escalate any delays, quantity mismatches, or delivery shortfalls to External Supply Planners.
  • Resolve delivery discrepancies, feeding root cause back to performance stakeholders.
