Job description
Responsibilities
  • Provide effective administrative support to the Children's Autism and ADHD service (CAAAS).
  • Develop a thorough understanding of the service and processes used including referrals pathways and links with other CAMHS services.
  • Produce quality typed work using audio or digital dictation in addition to copy typing to produce letters, reports etc.
  • Ensure that all communication is professionally presented, accurate, well-constructed and formatted in line with Trust guidelines.
  • Efficiently use appropriate systems to collect, collate and report data and information in an accurate format (e.g. Microsoft Excel, Word, PowerPoint) and have experience of, or be willing to learn, RiO the Trust's clinical database/recording system.
  • Maintain a well-managed filing system, both paper and electronic, to ensure ease of access and retrieval, in line with Trust protocols.
  • Support with planning and recording of rotas, including annual leave, screening etc and ensure accurate and any updated information is available to the team within a timely manner.
  • Actively support team meetings, co‑ordinate, collate and ensure accurate and timely distribution of papers, as needed.
  • Actively participate in team meetings and discussions with colleagues and manager to make constructive suggestions as to how services could be improved within own work area, and implementing such changes with guidance from line manager.
  • Respond positively, professionally and helpfully to all colleagues.
  • Communicate effectively with a wide range of people including colleagues and members of the public, ensuring that a professional approach is presented.
  • Use own initiative in prioritising workload to ensure deadlines are met.
  • Ensure all confidential paperwork is filed or shredded promptly and securely.
  • Adopt a flexible and supportive role within the administration team by assisting with workload in the absence of colleagues to maintain a robust and quality service.
  • Carrying out general administrative tasks for the department to agreed standards and timescales, e.g. photocopying, sending out correspondence and documents, etc.
  • Be flexible in travelling/working between all Trust's sites, as and when required.
  • Undertake any other administrative duties as and when required.
  • Act in ways that support equality and value diversity. Treat everyone with dignity and respect and recognise and report behaviour that undermines equality and diversity.
Qualifications
  • Administrative background with great eye for detail and experience of using all Microsoft Office packages.
  • Excellent organisational, time management and communication skills.
  • Experience speaking to people at all levels of an organisation.
  • Experience of working within a fast‑paced, process‑driven environment would be advantageous.
