Job summary

A recruitment firm in Belfast is seeking a Senior Secretary to provide administrative support at the director level within the Public Sector. The ideal candidate should have 2+ years of experience in a similar role, strong organizational skills, and proficiency in Microsoft Office. This position offers £13.57 per hour for 37.5 hours a week, lasting approximately 6 months.

Qualifications

  • 2 years’ experience in an administrative or secretarial position required.
  • Experience with Microsoft Office Professional Suite or equivalent necessary.
  • Full driving license valid for the UK required.

Responsibilities

  • Provide full administrative and secretarial support to Directors.
  • Organize and maintain diaries and prepare Directors for meetings.
  • Supervise and delegate work to staff as necessary.

Responsibilities
  • You will will be responsible for providing a full range of administrative and secretarial support functions to Director and Assistant Director Level as required.
  • This will require the planning, prioritising and monitoring of workload to ensure efficiency and accuracy at all times, and will include gathering information, proposing solutions and taking action to solve problems as appropriate.
  • Organising and maintaining diaries as required and ensuring the Director / Assistant Director is well prepared for meetings.
  • Managing telephone calls, enquiries, and requests from internal and external stakeholders as required.
  • Devise and maintain office administration systems to deal efficiently with paper flow, organising and storing paperwork, documents, and computer based information.
  • Supervise and delegate work to staff as required, ensuring all tasks are carried out to agreed quality and time targets.
Skills and Qualifications
  • 5 GCSEs at grade C or above, including English/English Language and Maths, or equivalent educational qualifications. AND,
  • A minimum of 2 years’ experience in an administrative or secretarial position to include experience of Microsoft Office Professional Suite or equivalent e.g. word processing, creating spreadsheets, email management, creating databases, PowerPoint etc
  • OR 3 years’ experience in an administrative or secretarial position to include experience of Microsoft Office Professional Suite or equivalent e.g. word processing, creating spreadsheets, email management, creating databases, PowerPoint etc
  • Word/Text Processing Level 2 - OCR/RSA (or equivalent).
  • Ability to minute/note take at Committee level, meetings etc.
  • Ability to delegate, motivate and use initiative
  • Hold a full driving license valid for use in the UK and have access to a car on appointment.
