Job description

Equans is looking for a Senior Procurement Manager - Bids and Mobilisations to join our team on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary, company vehicle or allowance, bonus and benefits package.

This is an important role for the Procurement team which is challenged with delivering a central support service within an autonomous and nationally-spread organisation. The post holder will be responsible for providing procurement expertise and coordinating with internal business stakeholders. The successful applicant will work closely with Business Development, Category and Operational procurement colleagues and key suppliers to identify the best value supply chain solutions to support the growth of the business. The role also requires ensuring internal capabilities are considered as well as promoting the use of EQUANS strategic and preferred supply chain partners.

The post holder will provide procurement support on concurrent bid and mobilisation projects across each of the three UKBU Divisions. Therefore, organisational skills, the ability to prioritise and multi-task is essential. Resource allocation and coordination, by consent and collaboration, with direct reports along with Operational and Category procurement teams to ensure all projects are delivered on time and to a satisfactory quality, including managing handover of successfully mobilised new contracts to the operational Procurement teams for ongoing BAU management. Take ownership of the end to end procurement process for delivering B&M support with clearly established roles and responsibility for all stakeholders supported by RACI matrix. In addition to B&M leadership this role will supplement the Category team on an ad-hoc basis to deliver category projects relevant to the development of supplier partner networks, supplier relationship management and comprehensive and competitive pricing schedules.

What will you deliver?

  • Create and implement a procurement plan to effectively support each bid and mobilisation
  • Engaging with suppliers in project specific categories to determine those best able to meet the needs of the business, reducing delivery risk and negotiating appropriate step-down obligations and cost effectiveness of services
  • Working closely with relevant internal key stakeholders to understand business needs, deliver effective demand management and drive compliance to negotiated deals
  • Development of insourcing network map so all internal entities can be given opportunity to tender where applicable. Relationship development with points of contact at each entity
  • Availability of central rates cards (in collaboration with Category team), with latest prices for reactive and PPM work, compatible with both Estimator and Procurement team modelling approach and structured for rapid bid pricing adoption
  • Management of variable price risk in tender activity and mitigating this exposure vis a vis budget forecasts
  • Design and development of the efficient formal process and governance procedures for Procurement support towards business development. These approaches must be consistent and standardised and published to the process directory to encourage adherence to best practice
  • Identifying opportunities to deliver savings by alignment with category approach and managing the successful delivery and transparent reporting of those savings
  • Champion of the strategic and preferred supply chain and a focus on developing good relationships with key suppliers and stake holders to produce competitive bid responses within timeframes
  • Driving innovation, sustainability and diversity into our customer offerings
  • Ensuring service continuity when mobilising new client contracts with appropriate T&Cs flow down. Conducting the activities in compliance with EQUANS Procurement Policy, respecting the ethical and sustainable development principles and capturing innovations
  • Developing and maintaining a central repository of information and support material
  • Managing tender preparations and response processes
  • Writing reports, responses and proposals to bid writers
  • Acquiring pricing and working with estimators to review supplier and budgetary costs
  • Negotiating with and managing sub-contractor and supplier inputs
  • Ensuring administration activities, such as issuing of supplier NDAs prior to RFI and onboarding of suppliers prior to mobilisation, is undertaken on time and according to process

Who are we looking for?

  • Previous experience in a Procurement role
  • MCIPS or working towards or equivalent
  • Experience in stakeholder management and influencing
  • Experience in managing a team
  • Experience in facilities management, contract mobilisations and bid support is advantageous
  • Good understanding of the procurement governance and the wider FM service procurement processes and procedures including all differing procurement vehicles
  • Project management
  • Proven track record in delivering procurement projects and outputs to a high level of quality within stipulated timeframes
  • Working knowledge of relevant FM sectors
