Key responsibilities
  • Speaker Management: Following a hand-over brief from the Event Producer, contact all speakers, arrange travel and manage expenses where necessary. Coordination and collection of speaker presentations pre-conference.
  • Venue: Planning of catering menus, room setup and AV requirements. Fulfilment of Health & Safety requirements.
  • Vendor Coordination: Smooth execution including booking, briefing and managing event suppliers such as Audio Visual / Graphics / Catering / stand builders etc. Organisation of signage and all event documentation, including speaker badges.
  • Team Collaboration: Regularly monitor and liaise with Conference Producers and Sales Managers regarding guests, speakers, sponsors and other attendees to ensure alignment on expectations and deliverables.
  • Onsite delivery: Team leader for onsite build, ensuring quality control across all aspects including AV, Venue, Catering, Registration. Seamless delivery ensuring accuracy across all elements with the event running to time with adequate resourcing planned for onsite delivery.
  • Post Event: Manage and collate event evaluations and appropriate distribution. Budget reconciliation. Update documentation where required and add supplementary documentation to websites. Create debrief report and run post event debrief meeting.
  • Venue Sourcing: Once RFP received, contact hotels, identify floor plan and capacity charts that will work for the event, negotiate within agreed budget parameters.
Qualifications & Skills
  • Event management expertise: A minimum of 4 years’ experience in planning and delivering successful events, including Large Scale Events and Expo, with evidence of managing budgets and profitability.
  • Leadership capability: Has at least 12 months’ experience managing and developing a team, with a track record of motivating others to deliver high-quality outcomes.
  • Commercial awareness: Proven ability to deliver events under budget and in profit.
  • Communication skills: Communicates clearly and persuasively in both written and verbal formats.
  • Stakeholder management: Builds strong relationships with clients, partners, and suppliers, ensuring excellent customer care throughout.
  • Technical competence: Highly proficient in Microsoft Office (Excel, Word, PowerPoint) with the ability to use event platform technology including but not limited to Swoogo, Swapcard, Canva and Grip.
  • Project management: Skilled in managing multiple projects simultaneously, prioritising effectively, and meeting tight or changing deadlines.
  • Operational resilience: Brings experience working in fast-paced, high-pressure environments, maintaining standards and composure under pressure. Continuously reviews and improves internal processes.
  • Global perspective: Willing and able to travel internationally as required for event delivery.
