Cricklade Surgery are looking to recruit a Medical Secretary/Administrator to join our team. This post is 24 hours per week. Working pattern to be discussed at interview. Must be flexible to provide holiday and sickness cover when required. Candidates to possess good IT and touch typing skills; knowledge of medical terminology is required.
There may be a requirement to carry out other tasks; dependent upon factors as workload and staffing levels. Practice policies and protocols should be followed. Strict confidentiality should be maintained.
Process referral letters to secondary care and other healthcare providers in accordance with practice procedures.
Manage electronic filing, ensuring accurate and timely processing, sending, and storage of correspondence.
Handle medical reports for insurance companies and private work.
Undertake photocopying, scanning, and filing of documents to maintain accurate records.
Send correspondence regularly and be our lead for our PPG members and unpaid carers.

Comply with confidentiality and data protection standards.
Respond promptly to enquiries from GPs, and other members of the practice team via electronic systems and email.
Communicate effectively with stakeholders to support efficient patient care and administrative processes.
Communications handled professionally and sensitively.
We are a small friendly practice across two sites. We also have a GP surgery in Ashton Keynes which we open every Wednesday from 10.30-13.30.
We use SystmOne.
We are also a dispensing practice.
To produce accurate, high quality medical correspondence including letters and other documents as required using audio/copying typing and word processing systems.
To develop and create reports using computer software.
Use own initiative to organise and prioritise workload ensuring that deadlines are met.
Sometimes you will need to respond to telephone enquiries. Maintain strict confidentiality at all times.
Record accurate messages and follow them up appropriately.
Deal with queries raised by patients, relatives, GPs or other healthcare professionals internally and externally to the hospital.
Receiving, prioritising and organising appropriate action/distribution of incoming and outgoing correspondence (including e-mail and tasks).
To be a point of contact for referral into the service. Tracking referrals and making sure all routine, urgent and 2WW's are dealt with using the choose and book system.
Scanning incoming correspondence onto the system and action accordingly.
Recognise the importance of maintaining strict confidentiality in respect of information regarding patients and adhere to the Data Protection Act.
To comply with Health and Safety Policies, reporting all accidents and incidents to the appropriate manager.
