Job Posting: Sales Operations & Systems Coordinator (Hybrid)
Job Summary

The Sales Operations & Systems Coordinator supports the growth and efficiency of the Sales Operations team by combining inside sales, system administration, and dealer support. This role ensures seamless workflows and data accuracy across Shopify B2B, Business Central, and CRM systems, while providing excellent service to our dealer network.

The ideal candidate has experience in wholesale or B2B account management, thrives in a fast‑paced, detail‑focused environment, and is committed to building scalable processes that improve dealer experience, data integrity, and operational performance.

Responsibilities and Duties
  • Support and enhance workflows across Shopify B2B, Business Central, and CRM platforms.
  • Collaborate with cross‑functional teams such as Marketing, Logistics, IT, Finance, and Production to align communication and workflows.
  • Test and document system updates; maintain SOPs, training materials, and process documentation.
  • Support sales initiatives including dashboards, lead tracking, and pipeline visibility.
  • Identify and recommend logistics and shipping workflow improvements using system tools (e.g., Pacejet, carrier automation, export tools).
  • Provide professional dealer support via phone, email, and Zendesk.
  • Resolve product, order, and logistics inquiries with proactive solutions.
  • Assist with dealer onboarding, new account setup, and opportunity management.
  • Identify upsell and cross‑sell opportunities and support general sales forecasting through order insights.
3. Order Management & Logistics Coordination (40%)
  • Receive, prioritize, and process dealer orders using Shopify B2B and Zendesk.
  • Provide timely order confirmations, shipping updates, and lead‑time communication.
  • Validate pricing, product codes, and payment status to maintain system accuracy.
  • Reconcile Shopify/Stripe transactions and verify payments prior to order release.
  • Process returns, issue credits, and support AR reporting with Finance.
  • Liaise with carriers (e.g., DHL, FedEx) and ensure accuracy of export documentation, HS codes, and shipment tracking.
  • Monitor shipments, resolve delivery issues, and elevate carrier concerns when required.
What You Bring
Must‑Have Qualifications
  • 3–5 years in Sales Operations, Inside Sales, or Dealer Support (wholesale, manufacturing, or B2B).
  • Experience with process improvement and/or systems integration.
  • Hands‑on experience with Shopify B2B, ERP systems (Business Central), and CRM tools.
  • Strong attention to detail, communication, organization, and multitasking abilities.
  • Proficiency in Excel and comfort with support platforms such as Zendesk.
  • Customer‑service experience with strong collaboration and financial/business acumen.
  • Must reside in the GVA area. Hybrid work flexibility available.
Nice‑to Have Qualifications:
  • Experience with EDI systems.
  • Dive industry exposure or interest.
  • Background in wholesale account management or B2B sales.
  • Knowledge of seasonal demand planning or inventory forecasting.
  • Experience with additional eCommerce platforms (e.g., NuOrder).
Salary Range

Career Band 1: $41,600- 70,000/ year
