JOB SUMMARY

Assists Contracts Administrators and other Legal team members with contract drafts, reviews and all areas of contracting process. Processes contracts and related documents to ensure accuracy for operational/project teams in accordance with the Contracts Policies and Procedures and all applicable Universal Creative Systems.

JOB RESPONSIBILITIES (% of time)

  1. As directed by Sr. Contracts Administrator and Manager, reviews and drafts scopes of work and related contract documents and compiles and routes contract documents for internal and external approvals and execution. Assists Contracts Administrator and Manager with preparing appropriate contract forms, including all addenda items, and assists with negotiation of Terms & Conditions in a form consistent with Universal Creative policies and procedures - 40%
  2. Verifies insurance coverage and other compliance matters. Prepares contracts documents with the assistance of Sr. Contracts Administrator and Manager. Assists Supervisor with preparing and monitoring of notices to Employer/Client - 20%
  3. Prepares and issues contract documents. Issues contract status reports. Maintains contract files, document control, and retention of files, and provides client training with assistance from Sr. Contracts Administrator - 20%
  4. Assists Legal, sourcing, and project teams with pre-qualification of bidders and securing of confidentiality agreements. Confirms vendor framework and other agreement status. May assist Supervisor, Sourcing, and project teams with Requests for Proposals, Invitations to Tender, bidder review and selection of successful bidder - 15%
  5. Prepares and issues close out documentation with the assistance of the Sr. Contracts Administrator - 5%
  6. Understand and actively participate in Environmental, Health & Safety responsibilities by following established policy, procedures, training and team member involvement activities.
  7. Perform other duties as assigned.

EXPERIENCE

  • Contract experience required; or equivalent combination of education and experience. Excellent contract writing skills required. Writing sample required; or equivalent combination of education and experience. Knowledge of JCT and NEC contracts desired.

ADDITIONAL INFORMATION

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to perform these operations using units of money and weight measurements, volume and distance.

REASONING ABILITY: Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. Ability to deal with problems involving several concrete variables in standardised situations.
