Overview

22802 A fantastic opportunity has arisen for a full-time Receptionist working 40 hours a week over 5 days (Monday-Friday) to join the team based in our Diss Support Office. We are a professional and personable team working in a busy environment, which makes the role varied and interesting. If you have strong administrative skills, we would love to hear from you!

Shift pattern

2 shift pattern options:

  • 8:30am-5:30pm – 1 hour lunch
  • 9:00am-5:30pm – 30 minute lunch

Key Responsibilities and Tasks
  • Welcome visitors to the office in a friendly, helpful and professional manner, ensuring an excellent first impression of the company.
  • Sort and distribute post received, including parcels across our 3 building site.
  • Book travel and accommodation for colleagues across the business.
  • Book meeting rooms and facilitate meetings, ensuring all requirements are met.
  • Clear meeting rooms and ensure all areas are kept tidy.
  • Answer calls in a timely manner, remaining polite, calm and professional at all times. Assist with general enquiries, ensuring messages are taken and passed onto the relevant team as necessary.
  • Monitor central email inboxes and assist with general enquiries. Take ownership of tasks from start to finish, ensuring all matters are dealt with in a timely manner, liaising with the requestor and keeping them informed of progress.
  • Maintain relevant electronic files.
  • Provide support to other departments within the business as required.
  • Ensure adequate supply of stationery, canteen supplies, etc. are available to colleagues.
  • Assist with recording, updating and storage of archiving files and records.
Key Skills and Experience Required
  • Previous recent experience in a Receptionist position is preferred
  • Excellent written/verbal communication skills
  • Strong administrative skills along with excellent time management
  • Attention to detail
  • Customer service experience
  • Experience using MS Office packages including Teams, Word, Excel and Outlook
  • Ability to stay calm and work effectively under pressure
  • Ability to work independently with minimal supervision
  • Flexible can-do attitude
