About the Company

This client is a well-established, privately owned property investment and management business with a substantial and diverse portfolio of commercial and residential assets across the UK.

The Role

An opportunity has arisen for an experienced Central / Property Administrator to join the in-house Commercial Property Management team on a permanent basis. This role is central to the smooth running of the department, providing high-quality administrative support and acting as a key point of coordination between property managers, tenants, contractors and internal teams.

Key Responsibilities
General Administration & Department Support
  • Support the day-to-day administration of the Commercial Property Management team
  • Act as the first point of contact for tenant and contractor enquiries
  • Work closely with Property Managers and internal departments including Lettings, Residential, Service Charge and Legal
Ticketing & Job Orders
  • Log maintenance issues and raise tickets accordingly
  • Generate job orders as instructed by Property Managers
  • Track works from instruction through to completion
Purchase Order (PO) Management
  • Raise and issue POs for commercial repair and maintenance works
  • Obtain and record contractor quotations
  • Amend and close POs following job completion
  • Maintain accurate PO trackers
Health & Safety Compliance
  • Support the coordination of health and safety compliance across the portfolio
  • Arrange audits and monitor compliance schedules
  • Attend monthly compliance meetings
  • Assist with remedial works and compile compliance statistics
  • Carry out site visits where required
Utilities Administration
  • Coordinate the setup and closure of utility accounts for commercial and residential properties
  • Liaise with utility providers to resolve billing and service issues
  • Maintain accurate utility records and account details
  • Assist with meter readings and tenant changeovers
Invoicing & Finance Support
  • Submit contractor invoices to the Accounts team
  • Investigate and resolve invoice discrepancies
  • Carry out weekly invoice status checks
Tenant & Contractor Liaison
  • Act as a key contact for commercial tenants
  • Support with repairs, service charge, utilities and insurance queries
  • Issue clear instructions to contractors and monitor progress of works
Additional Duties
  • Manage and track keys
  • Assist with diary management for the Commercial Property team
  • Monitor shared administration and utilities inboxes
  • Attend supplier review meetings
  • Oversee telephone system setup and call diversions
Person Specification
Essential
li>A-levels or equivalent qualification in Business, Administration or similar
  • Previous experience in a property-related role (commercial or residential)

  • Desirable
