Role: Project & Operations Administrator

Location: Bristol

Rate: £15.50 per hour

Hours: Monday - Friday, 9:00am - 5:00pm (35 hours net)

The Opportunity

We are looking for a highly organised Administrator to act as the backbone of our project delivery team. You won't just be answering phones; you will be the right hand to our Project Managers, ensuring our engineering and field teams are where they need to be, when they need to be there, and that the commercial side of our projects runs smoothly. The ideal candidate would have worked within a Construction / Buildings business previously.

Key Responsibilities
  1. Project & Commercial Support
    • Project Coordination: assisting Project Managers with "booking in" jobs, managing internal systems, and updating job spreadsheets to ensure real-time accuracy.
    • Client Liaison: Acting as a point of contact for key clients (including pub groups/retail), handling calls and emails professionally.
    • Compliance & Documentation: Scanning, filing, and sending essential certificates. Uploading compliance documents to company systems/portal to ensure site access and payment.
    • Financial Admin: Keeping logs of monies billed per job for Project Managers, handling specific billing tasks for key accounts, and managing key account scans.
  2. Fleet & Logistics Management
    • Travel Coordination: Booking accommodation for staff working across the UK.
    • Fleet Admin: Managing daily Clean Air Zone (CAZ) applications and processing vehicle‑related administration (parking fines, speeding notices, etc.) efficiently.
  3. Office Operations
    • Front of House: Answering the main phone line and greeting visitors at the door with a professional demeanour.
    • General Admin: Supporting the wider team with ad‑hoc administrative duties to keep the office running smoothly.
The Ideal Candidate
  • Previous experience in an admin or project support role.
  • Strong organisational skills—you know how to juggle accommodation bookings while answering the phone.
  • Computer literate (Excel, Email, Portals).
  • Reliable, proactive, and able to work independently.
