Job description

As a Project Coordinator, you’ll be a key part of delivering immersive live events—from initial planning through to post-event wrap-up. You’ll support our Technical & Theming teams by coordinating logistics, creative workflows, supplier relationships, and on-site execution to deliver seamless, high-quality event experiences.

Key Responsibilities:
Planning & Logistics
  • Manage event timelines, schedules, and documentation from pre‑production through to teardown.
  • Coordinate equipment prep, inventory checks, and deliveries in collaboration with AV, theming, and warehouse teams.
  • Book flights, crew, accommodation, and catering; liaise with venues as needed.
  • Organize and track vendor contracts, PO fulfilment, and expense reconciliation.
Technical & Creative Coordination
  • Assist with technical specifications, staging plans, schematics, and onsite schedules.
  • Support creative delivery, from sourcing props and print materials to detail research and copy touchpoints.
  • Participate in site visits, walk‑throughs, and vendor liaison to ensure seamless event execution.
On‑Site Execution
  • Act as a point of contact for clients, vendors, and crew during events to resolve last‑minute issues promptly.
  • Ensure risk management and compliance practices (health & safety, insurance, permits) are followed.
  • Shadow Project Managers in client‑facing meetings and event briefings to build stakeholder relationships.
Post‑Event Follow‑Up
  • Support post‑event close‑out: documentation, budget reconciliation, archiving, and case study generation.
  • Propose process improvements for future planning and execution cycles.
You should have:
  • Strong organisational and time‑management skills, with the ability to juggle multiple workstreams and deadlines.
  • Excellent written and verbal communication skills, confident liaising with clients, suppliers, and internal teams.
  • High attention to detail, particularly around schedules, logistics, and documentation.
  • Problem‑solving mindset and ability to stay calm under pressure.
  • Competent with Microsoft Office / Google Workspace (Excel, Sheets, Docs, scheduling tools).
It would be great if you have:
  • Experience working on live events, immersive experiences, exhibitions, theatre, or themed environments.
  • Familiarity with technical event elements (AV, staging, lighting, scenic/theming, print).
  • Commercial awareness, including basic budgeting, cost tracking, and PO processes.
