The Project Coordinator Role

The project coordinator role ensures effective delivery of projects on time, to budget and profitably. The role also includes working closely with the Client Services and Operations teams to ensure project information is effectively communicated in-order to plan and resource multiple project requirements on a weekly and longer term basis.

The role requires excellent organisation, attention to detail, problem solving and communication skills. It also requires basic commercial understanding, and number proficiency.

The role will be primarily internal facing, with some tasks that will require liaison with external third parties.

Responsibilities
  • Work closely with senior CS team to understand deadlines, budgets and scope and support preparation of project scoping and timelines including facilitation of internal meetings to agree approaches and gather information needed for scoping
  • Create and manage through to completion realistic project timelines, updating internal project management and finance programs, scheduling client and internal meetings and ensuring all information required is obtained in good time throughout the project
  • Facilitating communication with Ops team to ensure all information is clear to schedule the studio and coordinate work flow
  • Manage issues and unforeseen changes in scope of work with senior CS and Ops team
  • Facilitating sense check meetings with design and production teams prior to master asset creation and production - ensuring all relevant parties updated with actions and facilitating next steps
  • Ensure all information required for briefs is obtained in good time ie. Cutters, artwork, assets etc
  • Working closely with production team to facilitate project set up and PPMs with third party repro through to final delivery
  • Attending project finance tracking meetings and making any updates as directed
  • Ensure information is gathered in timely manner for various internal purposes inc. priority meeting tracking, case study and launch tracking
  • Coordinate diaries for briefings and reviews of creative work across a portfolio of clients and workstreams

This is a full time role (5 days a week, 9.00am – 5.30pm). Package will depend on candidate’s experience.
