Job description
Position Overview

This newly created role will be critical to the smooth and effective running of the business. You will be providing PA support to the Development Director and Engineering Director. Acting as a trusted extension of both, you will play a pivotal role in ensuring their day‑to‑day responsibilities are handled with precision and discretion, allowing them to spend maximum time on strategic tasks and initiatives.

You will be responsible for defending the Directors’ time by qualifying incoming traffic (business critical, urgent, important, defer) and delegating tasks to alternative resources as appropriate. You will also coordinate closely with the Project Management team on project milestones by tracking deliverables and scheduling these into the Directors’ diaries.

You will be entrusted with highly confidential and sensitive information, requiring the utmost discretion and professionalism. Your primary focus will be supporting the Development and Engineering Directors, but you may also be called upon to assist the wider Executive Team when needed.

This is a newly created position within Crux, designed to provide high‑level support across both individual and operational needs. As such, the scope of the role is likely to evolve as the business grows and priorities shift. Flexibility, initiative, and a proactive mindset will be essential.

Principal Responsibilities
  • Act as a first point of contact for email correspondence and phone calls by responding, passing on messages or highlighting them for the relevant Director’s attention, ensuring timely responses and follow-ups.
  • Act as a gatekeeper and liaison, handling communications and requests professionally.
  • Manage complex diaries, meetings and schedule appointments with precision and discretion.
  • Support in the creation, review, collation, and circulation of documents where appropriate.
  • Calibrate your awareness of "what would the Director do with this".
  • Handle confidential and sensitive information with the utmost discretion.
  • Remind each Director of important tasks and deadlines.
  • Book and arrange travel, transport and accommodation for the Directors’, relevant departments and for staff based in the US.
  • Collate and file expenses for the Development and Engineering Directors.
  • Co‑ordinate with the Project management team on project milestones, through deliverable tracking, and schedule into diary.
What We’re Looking For
Essential
  • Experience in a similar Executive Support, Administration,or PA role.
  • Exceptional organisational skills and attention to detail.
  • Strong working knowledge of Microsoft Office including Word, Excel, Outlook, PowerPoint, Teams.
  • Proven experience in diary management and general office administration.
  • A collaborative team player with a proactive and flexible approach.
  • Strong initiative and judgement, anticipating needs and proactively solving problems.
  • Excellent communication skills with the ability to deal with stakeholders across the business.
  • GCSE or equivalent qualifications or above.
