Job summary

A recruitment agency is seeking an Operations Administrator for their client’s office in Fair Oak. The role requires strong organizational skills, proactive communication, and proficiency in Microsoft Office and Xero. Key responsibilities include managing client communications, processing orders and invoices, and maintaining accurate stock records. 1to1 Group are recruiting for an Operations Administrator for our client’s office in Fair Oak. This position will be the focal point of the office, meaning the successful candidate will have strong organisational skills, be proactive and a great communicator.

Role Details
  • Fair Oak
  • £30,000 pro rata
  • 8am-4pm Monday to Friday
  • 40 hours per week
Responsibilities
  • Manage client communications regarding orders, deliveries and invoicing.
  • Acknowledge and process customer orders promptly, addressing queries proactively.
  • Raise and process invoices in Xero, and prepare account statements.
  • Support Operations Manager with preparation of management accounts.
  • Process customer orders and maintain accurate stock records, including month-end updates.
  • Maintain customs clearance and VAT deferment records.
  • Prepare shipping schedules, documentation, and quotations as required.
  • Record KPI and customs entry data, and liaise with external consultants for reporting.
  • Support ISO and EcoVadis documentation, including template creation and policy monitoring.
  • Support projects and HR functions such as staff onboarding and maintaining holiday/sickness records.
  • Manage office operations including phones, post, supplies, equipment maintenance, and travel bookings.

  • Skilled at managing multiple priorities, meeting deadlines, and maintaining efficiency.
  • Strong written and verbal skills for effective stakeholder engagement.
  • Accurate in data entry, documentation, and record-keeping.
  • Proficient in Microsoft Office and quick to learn new systems/databases.
  • Resourceful in identifying issues and implementing practical solutions.
  • Flexible in responding to changing priorities and dynamic workloads.
  • Hands‑on experience with transactional processes in Xero.
