Overview
Title: Office Manager
Department: London Office
Position: Full Time - 40 hours per week, 9am-4pm core hours in office
Salary: 30-35k dependent on experience with a discretionary annual bonus
Holiday: 25 days per year, excluding bank holidays, WFH Wednesdays
Start date: September 2025 including two 2 weeks paid training for all aspects of the role

The Role
We are seeking an organized and motivated individual to join our team in the position of Office Manager. You thrive from processes, strong communication and improving efficiencies within teams. You will be working across all persons in the business with a diverse range of activities and tasks. We take pride in our ethos and brand, therefore the utmost level of professionalism must be maintained at all times. The right person for this role needs to be efficient, personable and proactive. An interest in operations is critical, with a view to long term career investment. You will directly report an agency Director & COO. We are seeking a candidate with previous PA or office management experience.
Role duties will include;
Studio Support
- Opening and closing produces
- Managing office inventory and purchasing
- Studio wardrobe inventory - arranging dry cleaning when needed
- Events management
- Model card wall - full monitoring and stocking, sending to printers
- First point of contact for office services and landlord if required
- First point of contact for agency visitors
Agent Support
- Ongoing booking Software (Mediaslide) updates
- Digital time slots - co-ordinating with studio photographer to book in according to chart - checking off with full details, especially new faces during holidays
- Calendar invites - setting up calls with proposals for relevant agent - lots of back and forth / rescheduling takes up time
- Call sheet translating - updating ms with the appropriate info in super busy times
- Upon request by Art Department: image chasing
- Check off - specific model chart confirmations
- Visa applications - requesting references from clients for girls applying for us visa etc
- Placements - admin to organise models appointment schedule etc
- Model accommodation: booking, charting and charging/sending to accounts for payment
- Travel - agent provides travel needs / exact flights and assistant books with travel agent
- Charting - foreign options, book out dates, charting of all options
- Self tape requests
- Recipient list updates - updating send out lists on ms with new clients & contacts provided by agent
- Model onboarding - following process to onboard all new talent
Visa Management
- Oversee the application, management & Home Office Reporting for Creative Worker Visas thoroughly and attentively, both in the government SMS system and Linden Staub’s Booking Software, MediaSlide
- Management of email visas@lindenstaub.com
- Have access to SMS system and as a tier 1 level user
- Oversee the application, management & reporting of PPE Visas when required, including exit and re-entry of talent.
- Recharge Visa costs to talent in Media Slides Accounting Portal, amongst other recharges
- Save all documents in relevant places (in Mediaslide & Google Drive)
- Manage 14 day working requirement for all VISA talent
- Execute all Right To Work Checks in office and on location where applicable (Backstop for ensuring Right To Work Checks)
- Discharge visa when talent leave the UK or is no longer sponsored by Agency & update the Government SMS system & MediaSlide
- Communicate with the Booking Team to ensure the smooth and clear application & management of all visas
- Under the VAO guidance - Ensure all existing visa processes are kept up to date and amended with any changes that are implemented by the government, including digitalisation of BRP / right to work
- Perform Right To Work checks on all talents on any status of visa who do not hold a UK passport, recording this in MediaSlide / RTWC - in agency & FaceTime checks where necessary
- Implement digital BRP process and records as per home office advice
- Update Visa Authorising Officer on CoS allocation and update when required to apply for increased number
- Weekly document expiry, Thursday webmail to all agent, including passport expiry
- Ensure charting is correct on model charts, liaising with models and bookers for accommodation and travel
- Reminding of newly signed models to sign up for ETA where applicable
- Management of ALR jobs
Accounts Support
- Ongoing recharges of to models and clients
- preparation of monthly travel expense reports (via invoices from travel agencies), along with recharging in Mediaslide where required
- Weekly Tuesday credit control
