Job description

A specialist off-shore energy recruitment company with a professional and friendly culture are expanding, and require the support of an Office Manager.

This is a brand new role, so there is scope to make it your own but with plenty of support and training as well as career growth opportunities. They are a small, agile and growing team where your work genuinely matters and your ideas are actively encouraged. They are seeking a highly organised and proactive Office Manager to oversee the smooth running of their office and support day-to-day business operations.

Key Responsibilities include:

Office & Facilities Management

  • Ensure the office is safe, well-maintained, and fully operational at all times.
  • Coordinate building management, landlord/serviced office communications, repairs, cleaning, access cards, security systems, and maintenance schedules.
  • Manage office supplies, consumables, and equipment—procurement, stock management, and budget adherence.
  • Ensure meeting rooms, shared spaces, and communal areas remain presentable and functional.
  • Review supplier contracts (e.g., cleaning, maintenance, IT support), flag renewal dates, and support with cost comparisons or negotiations.

IT & Systems Support

  • Liaise with external IT support providers for escalations, system improvements, and ongoing projects

Supplier Management

  • Manage relationships with all office suppliers, service providers, and contractors.
  • Compare pricing, negotiate contracts, and ensure that services are cost-efficient and delivered to agreed standards.

Health, Safety & Environment (HSE)

  • Ensure compliance with workplace health, safety, and environmental obligations.
  • Maintain HSE policies, risk assessments, safety logs, and incident records.
  • Coordinate mandatory training, audits, and safety briefings.
  • Act as (or coordinate) fire warden and first-aid coverage.

HR Administration Support

  • Maintain personnel files, HR records, confidentiality standards, and compliance documentation.
  • Coordinate reminders and tracking for performance reviews, probation reviews, and compliance requirements.
  • Support internal recruitment logistics (interview scheduling, documentation, candidate coordination).
  • Assist with benefits administration, policy updates, and internal communications.

Socials, Events & Culture

  • Plan and coordinate internal events, team socials, celebrations, and office activities.
  • Support employee engagement initiatives and internal communications.
  • Support with coordinating any attendance at conferences, including registrations, logistics, and travel arrangements.
  • Help foster a positive, inclusive, and productive office environment.

Operational Support & Coordination

  • Support internal operations projects aimed at improving processes, systems, or workplace efficiency.

They are looking for someone with

  • Some proven experience in office management or similar operational role (1-2 years minimum)
  • Strong organisational, administrative, and multitasking capability.
  • Clear, confident communication skills and strong interpersonal awareness.
  • Ability to work independently, prioritise effectively, and anticipate needs.
  • Experience managing suppliers and negotiating contracts.
  • Comfortable with IT troubleshooting and managing basic systems administration.
  • An understanding of HSE requirements and/or experience with HR administration would be beneficial but is not essential.

In addition to a generous annual salary the company offers plenty of incentives and lots of socials. You can work remotely on Mondays with Tuesday-Friday being office based, in a great Central London location.
