Overview

We are searching for a maternity cover for a role where you will be responsible for providing administrative support to the UK team, including but not limited to office management, communication, travel and events coordination. The incumbent will also be responsible for general accounting activities as well as providing finance support to other departments/functions in the UK operations.

Your role

In this role, your duties and responsibilities will be:

  • Finance and accounting support:
    • coordinating invoice approvals in company system to ensure timely payment to contractors and suppliers
    • completing periodic accounting activities, including:
    • processing accounting for approved employee expense reimbursements
    • bank reconciliation for all legal entities
    • general accounting entries (accruals, payroll journal etc.)
    • assisting with periodic financial closing activities
    • assisting with periodic VAT reporting
    • assisting in preparation of quarterly financial reporting pack (Working Papers)
    • updating project budget trackers with actual spend on processing invoices
    • assisting with development of annual corporate office budget development
  • Office management:
    • Point of contact for office administrative requirements, such as:
    • managing office cleaning and other services in coordination with landlord and service providers
    • ensuring provision of office supplies, printing and stationary items
    • distributing inbound correspondence and assisting with issuing company correspondence as well as referencing searches when required
    • coordinating UK team travel arrangements including flight, hotels and rail or road transport bookings
    • coordinating arrangement relating to business events including participation in trade shows and company meetings and social activities
    • raising purchase orders in company financial system in coordination with UK business end users (e.g. development team, construction team)
    • Any other duties as assigned

Experience and qualifications
  • A’ Levels/Highers or equivalent
  • One to three years experience in junior finance role(s) would be beneficial

  • Familiarity with financial systems
