This role is an exciting opportunity for someone within the beauty and cosmetics industry to develop and gain exposure across multiple functions.

Background

Our client is an established cosmetics wholesaler supplying a broad range of premium personal care products, including skincare, hair care, bath products, and gift sets. Working with internationally certified manufacturing partners, they operate a UK-based laboratory to ensure all products meet strict regulatory and quality standards. Supported by dedicated product development and marketing teams, our client focuses on creating safe, effective, and market-relevant products aligned with current consumer trends.

Role Overview

Reporting into the Operations Manager/Director, this role will provide comprehensive administrative, procurement, logistics, and data management support to the UK operations. The successful candidate will ensure efficient collaboration is maintained between the warehouse, sales, and external partners (suppliers, freight forwarders, and retailers) whilst handling ad-hoc admin tasks as needed to support the UK operations.

Key Responsibilities
  • Administrative Operations: manage phones, emails, calendars, meetings, travel arrangements; maintain electronic and physical filing; support internal communications.
  • Procurement & Financial Support: monitor office supplies; process orders and invoices; assist with expense reimbursements; support basic QuickBooks Premier data entry and reconciliations.
  • Order & Inventory Support: enter and track orders; assist with stock reconciliation with the warehouse; prepare picking lists; support quarterly/annual stock takes.
  • Logistics & Compliance: prepare shipping documents (invoices, packing lists, bills of lading, manifests); coordinate with freight forwarders and customs brokers; track shipments and resolve issues; maintain supplier and customer records; ensure GDPR/compliance.
  • Data & Reporting: compile data for management reports; monitor key metrics (stock levels, order cycle time, freight costs); support audit readiness with organized records.
  • Retail & Partnerships: liaise with UK retailers and internal teams to ensure timely communication and delivery.
Essential Experience & Skills
  • Experience: 4+ years in office administration, procurement, logistics, or related fields; cosmetics/retail/import-export experience is advantageous.
  • Technical Skills: Proficient in MS Office; experience with ERP/CRM systems; QuickBooks Premier familiarity preferred.
  • Language: Fluent in English, additional languages such as Mandarin would be advantageous but not essential.
  • Key Competencies: Attention to detail, organisational excellence, effective communication, problem-solving, and collaboration.
