Job description

Join HCRG Care Group as a Healthy Family Team Receptionist, where you will be the friendly first point of contact for clients entering our Family Hub. Your role will be essential in creating a positive experience for families, guiding them to ensure their needs are met and they feel supported every step of the way. As the face of our Family Hub, you'll play a key role in ensuring the smooth running of the site, assisting the Healthy Family Team Lead with day‑to‑day operations. Your responsibilities will include setting up meetings, reporting maintenance issues, and providing front‑of‑house coverage. Additionally, you'll be part of our wider Single Point of Contact (SPOC) team, offering vital administrative support to the Healthy Family Team. From communicating with the public and managing correspondence to updating client records in the Systm1 database, your work will support a multidisciplinary service dedicated to improving the lives of children and families. Responsibilities
  • Produce SystmOne reports and complete administrative tasks using Microsoft Office.
  • Support administration functions across Essex, adapting to different posts as needed.
  • Maintain electronic records safely and accurately, adhering to procedures.
  • Professionally handle sensitive communications with clients, staff, and agencies via email, phone, and face‑to‑face.
  • Process safeguarding and vulnerable patient reports, allocate assessments, and manage practitioner tasks.
  • Oversee colleague ledgers, allocate visits, and ensure duty rotas are covered.
  • Maintain accurate data for KPI reporting, including managing duplicate records and updating client information.
  • Provide IT support, including SystmOne training, and assist with technical issues.
  • Manage reception duties, stock supplies, raise purchase orders, and arrange/co‑coordinate meetings.
  • Compile information for performance and KPI reports, ensuring timely submission.
  • Provide mobile site coverage, monitor communications, and update websites and social media.
  • Handle stock management, including orders, stock takes, and equipment movement between sites.
  • Verify suppliers, manage mailboxes, and perform manual handling of items as needed.
Skills and Abilities
  • Strong numeracy and literacy skills.
  • Competent in IT, including Word, Outlook, and Excel.
  • Excellent interpersonal, organizational, and time management skills.
  • Attention to detail with the ability to prioritize workload and work independently.
  • Professional telephone manner and ability to maintain confidentiality.
Experience
  • General office experience handling sensitive and confidential information.
  • Proficient in Microsoft Office, including diary management.
Knowledge and Understanding
  • Familiarity with office administration, equipment, and Information Governance.
  • Awareness of Health & Safety and patient needs within the NHS.
Personal Attributes
  • Team player, adaptable, flexible, reliable, and quick to learn.
  • Ability to multitask and work effectively under pressure.
  • Holds a valid driver's license.
Desirable
  • ECDL or equivalent qualification.
  • Experience with SystmOne.
