Executive Assistant to Managing Director

Patek Philippe is the last family-owned independent Genevan Watch Manufacturer.

We are currently recruiting to fill the following full-time vacancy in our flagship store in New Bond Street, London.

(Full-time, on-site, 5 days per week)

As an Executive Assistant you will provide high level support to the Managing Director with day-to-day operations, diary management and maintaining the smooth running of the Salon, whilst ensuring that the Company’s standard of service is met and adhered to at all times.

Main Duties
  • Responding to email and phone enquiries from external and internal clients
  • Liaising with Managing Director’s clients as and when required including all VVIP clients
  • Diary management and arranging appointments for Managing Director
  • Taking minutes at management meetings
  • Assisting with the annual Financial, Commercial and IC Brian Budgets
  • Assisting the Managing Director with facility and refurbishment projects
  • Arranging Travel, accommodation and any other additional reservations for Managing Director
  • Assisting with regular reporting to HQ (budgets, monthly reports, fast forecasts etc)
  • Managing credit card & petty cash expenses in a timely manner
  • Assisting HR with the onboarding and recruitment of new employees
  • Communicating with all levels of staff, management and suppliers
  • Using all Microsoft packages including Word, Excel & Outlook
  • Daily use of CRM software and SAP
  • Assisting the Managing Director with any legal queries, Police enquiries etc.
  • Organisation of team building exercises and training, including booking venues and travel arrangements
  • Arranging Travel, accommodation and any other additional reservations for other members of staff as and when needed e.g. Training seminars
  • Arranging travel and accommodation for visitors from HQ
  • Assisting Managing Director in all elements of the business, as and when required and requested
What we are looking for
  • French speaking and writing skills would be an advantage
  • Previous experience in a similar role
  • Exceptional communication skills, both written & verbal, and a confident telephone manner
  • Exemplary handwriting skills. Calligraphy training will be provided.
  • Ability to speak effectively with internal staff, external customers and suppliers
  • Ability to read and interpret documents with a technical aspect, such as spreadsheets and invoices
  • Ability to write reports and other correspondence, possess proven literacy and numeracy skills
  • Have an enthusiastic and positive personality and effectively manage your time and productivity whilst at work
  • Ability to work as a self-motivated individual as well as part of a team
  • Proven organisational skills, able to work well on your own. Can set and meet deadlines
  • Used to working in a very fast paced environment and can manage in pressured situations
  • Keeping a high standard of appearance
  • Proven & exceptional customer service skills
  • Have full knowledge of products, to be able to explain and recommend purchases. Full training will be given for product knowledge
  • Proficient in using Microsoft Word, Excel & Outlook is essential. SAP and Salesforce is desirable
  • Experience in the Luxury Retail Industry is desirable but not essential
  • Must hold a valid passport
