About the Role:

To assist our personal and professional life, our dynamic family and network of businesses is looking for an Executive Assistant who is proactive and well-organised. This is a hybrid position that combines childcare and family logistics with executive support for our businesses. You must feel at ease in a fast-paced, family-friendly setting because you will be collaborating directly with the directors on a variety of projects.

Principal Duties:

Support for the General Executive Office:

  • Assist directors with all aspects of administration, such as calendar management, meeting scheduling, and trip planning.
  • Respond professionally to incoming correspondence, using good phone manners.
  • By using efficient data input and document management, you can keep accurate records and files.
  • As needed, prepare presentations, reports, and letters.
  • Organise office processes and operations to increase productivity and efficiency.
  • When necessary, work together with team members to support different projects and activities.

Administrative and Executive Support:

  • Oversee corporate directors’ schedules, appointments, and travel plans.
  • Help with phone and email communication, including record-keeping and response preparation.
  • Assist with basic bookkeeping, tracking expenses, and organising documents.
  • Communicate with suppliers, contractors, and internal teams in a variety of commercial endeavours.
  • When dealing with delicate personal and professional issues, maintain secrecy.

Coordination of Childcare and Family Support:

  • Help with three young children’s (ages 4 and under) school and activities scheduling.
  • As needed, schedule medical appointments, extracurricular activities, and pick-ups and drop-offs.
  • When parents are away or travelling, watch after and take care of the kids at home.
  • Encourage early learning activities, including as reading, play-based learning, and homework assistance.
  • On occasion, take a trip with the family to help with childcare and holiday planning.
The ideal applicant will possess:
  • Shown expertise working as an executive assistant, clerical worker, administrative assistant, or in a similar capacity, preferably in the consulting, construction, or hospitality industries.
  • Excellent organisational abilities and the capacity to set priorities in a hectic setting.
  • Knowledge of Google Suite (Docs, Sheets, Slides), Microsoft Office (Word, Excel), and familiarity with QuickBooks or other financial software.
  • Knowledge of office supplies and fundamental IT problems.
  • The capacity to work both individually and together, exhibiting initiative and problem-solving skills.
  • At least two years of experience working as a manager, executive assistant, personal assistant, or in a related support job.
  • Experience working with children, preferably as a family PA, teacher, or nanny.
  • Strong multitasking and organising skills.
  • Outstanding English communication skills both in writing and speaking.
  • Tech literacy includes being able to use calendars, email, cloud file management, and simple financial and Excel tools.
  • Reliable, discrete, and flexible with shifting schedules.
Preferred Requirements:
  • Experience in business support, childcare, education, or administration.
  • First Aid certification, or the desire to acquire one.
  • If it isn’t already in place, a clean driving licence should be acquired within the first six months.
  • Willing to apply for a skilled worker visa or qualified to work in the UK.
Hours of Work:

Full-time job with some flexibility for travel or evenings, usually 40–45 hours per week.

A schedule will be decided upon based on the demands of the business and the family.
