Job Title: Events Admin Planner

Pay rate: £20.74 per hour PAYE

Role length: Anticipated 12 months

You will be able to handle manual tasks such as lifting and using equipment safely.

The role

We are seeking a dynamic and proactive Events Admin Planner to work as part of an integrated Sales & Marketing Team primarily to maximise commercial income generated from hiring out spaces of a venue to external clients.

You will assist internal council departments to plan and manage their own meetings and events within the venue and ensure the efficient use of the spaces in the venue on a day-to-day basis.

Key requirements
  • Deal with customer enquiries in a prompt, polite and efficient manner, taking responsibility for the planning of events from start to finish, including ensuring contracts are signed before event delivery
  • Assist the Sales & Marketing Manager in ensuring all necessary reports, management information, and financial transactions are presented in a timely and accurate manner
  • Work as part of a multi-skilled Sales & Marketing team and keep up to speed with the latest standards, processes and procedures on the operations side of the business and work flexibly to provide cover during event delivery as required
  • Develop strong working relationships with key internal departments such as Facilities Management and AV services and with key internal customers such as the Governance team
  • Brief the Senior Operations Supervisor on upcoming events that have been confirmed in the calendar and ensure the room booking system is regularly updated with detailed and accurate event briefs, as signed off by the client
  • Take ownership for all events spaces and the activities within them and highlight any issues with the venue or event set up immediately
  • Work closely with the Senior Operations Supervisor to coordinate and manage the different elements required to deliver a variety of events and meetings to the highest standard and conduct risk assessments as required
  • Provide support and cover to the Filming & Advertising Officers during busy periods
What the client is looking for
  • Educated to A-level standard and/or qualification in sales, customer service or marketing

  • Knowledge of effective sales and marketing techniques and how to close a sale
  • Knowledge and awareness of current health and safety legislation and regulations
  • Experience of achieving financial targets including sales and business development achievement
  • A proven track record of excellent stakeholder management and first class customer service
  • Ability and willingness to work flexibly, including evenings and weekends
  • Sales and influencing skills
  • A high standard of mathematical competence
  • Ability to understand manual handling, lifting and moving as well as the use of a genie lift and ladders
