Duties and Responsibilities

Role overview

The Evening Legal Secretary will provide a comprehensive evening secretarial/document production service to all legal and support personnel within the London office. The role requires a strong commitment to confidentiality at all times. The role reports directly to the Secretarial Management team. This position is office based and operates from 4:30 pm to 10:00 pm, Monday to Friday, with a thirty minute break.

Key responsibilities

  • To provide timely and accurate word processing of text, data and graphic files to lawyers, trainees and other personnel, utilising an advanced knowledge of the Microsoft Office Suite.
  • Create documents via scanner, new input or conversion, including heavy document clean ups and editing using styles and Innova.
  • Input, format, and revise documents according to lawyer instructions and the firm’s guidelines.
  • Create flow charts, tables, tables of contents and indexes, with the ability to create and edit documents in Word, PowerPoint and Excel.
  • Manage document turnaround expectations between evening clients of the Epiq Service; coordinating and liaising as needed to ensure deadlines are met.
  • Carry out thorough proof reading and quality checks on all completed work.
  • Amend and edit Adobe PDF files and convert documents to Word where required.
  • Troubleshoot basic user issues in person, by phone or via email.
  • Handle printing, scanning and reprographics requested as needed.
  • Provide administrative support to the secretarial team including entering timesheets, creating iManage folders, organising travel and managing visitor lawyer requests.
  • Answer and direct incoming calls from the evening switchboard.
  • Arrange national and international couriers and book taxis.
  • Act as an evening office concierge service for all personnel, directing individuals to the appropriate services and providing hands on assistance where necessary.
  • Build strong working relationships with colleagues and external contacts.
  • Provide cover for other members during periods of absence.
  • Demonstrate an understanding of the firm’s culture and goals and act in alignment with them.

  • Minimum of five years’ previous secretarial or document production experience.
  • Experience working with large volumes of documentation.
  • Strong working knowledge of Outlook, Word, PowerPoint, Excel, Adobe, Visio and Paint.net, with training provided where needed.
  • A positive attitude with a practical, common sense approach and strong resilience.
  • Quick and accurate audio typing and keyboard skills.
  • Ability to guide, advise and instruct colleagues on the use on in-house styles and formatting.
  • Troubleshooting knowledge gained within a legal environment.
  • Excellent organisational and administrative skills.
  • A proactive approach and a genuine willingness to support the team.
  • Strong interpersonal skills.
  • Confident and clear communication ability, with ease of relating to people at all levels.
